ERP for industrial equipment & oems. Sell the machine, then earn on the AMC for a decade.

Sell the machine, then earn on the service agreement for a decade, with every serial number, warranty and renewal in one record. The service agreement is called an AMC (annual maintenance contract) in the product. The United States edition opens from early 2027.

From early 2027
Short answer

How does Kinnow help a capital-goods company? The machine you ship becomes a record you service for years: its serial number, its warranty, its AMC and its service tickets sit together. So every call knows what the customer is entitled to, and every renewal is chased before it lapses. Nothing is filed, paid or posted without a person.

Your business in one paragraph

You sell a machine once and service it for a decade. The sale is a long quote, a large invoice and a delivery to site; the margin is in what follows: the service agreement, the spares, the callouts. The risk is that the list of machines you have installed (your installed base) lives in a spreadsheet, the manufacturer's warranty lives in a file, and the engineer leaves without the part. Three things keep the owner awake.

Renewals missed in silence

A service agreement that lapses means a customer who left without anyone deciding it.

Warranty cost absorbed

A breakdown you fixed at your own cost on a machine the manufacturer still covers is a claim nobody filed.

Repeat visits

An engineer sent without the right part, or to a customer who is out of cover, is a callout that earns nothing.

Bring your installed-base spreadsheet and see which renewals are due in the next 90 days.

How your month runs on Kinnow

This runs from first enquiry to AMC, then through the service work that earns on it.

What the ready-made setup covers

The ready-made setup for capital goods (we call it an industry pack) brings six limits, four sign-off routes, nine report codes, eleven starter questions for Ask Kinnow and ten agents. The United States setup adds sales-tax, invoice, write-off and payroll sign-off. The figures are plain numbers, so we go through each starting figure with you in dollars before you begin.

LimitEffectWhy it is there
Customer credit limitNeeds approvalOne order is one large invoice, not a stream of small ones
Sales order above a valueNeeds approvalOne unit can be a quarter's revenue, with a commissioning and warranty commitment
Purchase order above a valueNeeds approvalWhat you buy is a machine, not a consumable you reorder
Journal above a valueNeeds approvalLanded cost on imports is booked as a journal entry, not an invoice
Service ticket with no SLA planBlockedNo plan means no clock, so it could never be late
Non-billable service work orderWarningService effort that is never billed eats into margin without showing as a loss
Invoice and sales-tax return above a value (US setup)Needs approvalTax depends on where the machine ships, and filing is irreversible

The ready-made routines include Enquiry to AMC, Buying long-lead parts, Site visit to sign-off, Customer return to credit, Stock transfer between warehouses and Invoice correction by credit note.

Agents for capital goods

Pact

AMC Renewal

Prepares a renewal suggestion for each of your AMC (annual maintenance contract) customers, using the same renewal routine as lease renewals.

Serve

Contract Renewal Watch

Warns at 60, 30 and 7 days before an AMC ends, and notes each warning so the reminder does not repeat every morning.

Maintain

Warranty recovery

Lists breakdowns you fixed at your own cost on equipment a manufacturer still covers. It only lists candidates and drafts nothing; a person reads the terms.

Serve

Job Dispatcher

Suggests the best engineer for a ticket based on skills, area and current workload.

Serve

Technician Scheduler

Proposes an even spread of unassigned visits across the engineers who are available.

Serve

Parts Recommender

Suggests the spares a visit is likely to need, based on the type of job and the machine being serviced.

Serve

SLA Alert

Flags tickets about to miss their response or resolution time.

Sell

Quote Writer

Drafts a quotation or sales order from an enquiry written in everyday words, or from a customer's purchase order (PO) document.

Each agent is tested with each client before it touches their books, and everything it produces waits for a person. Also available: a calibration watch in Maintain, which separates overdue instruments from those due soon and looks only at the latest certificate.

Sales tax and compliance for a US equipment company

The United States has no federal sales tax and no federal e-invoicing mandate. The first release has basic support for state sales tax: the groundwork to prepare the figures is completed before launch, and a person confirms and files. We confirm dates, rates and certificate rules with you and your tax adviser.

FilingWhat Kinnow preparesWho confirms
State sales-tax returnsA calendar line per registered state and period (where no due day is recorded, Kinnow assumes the 20th of the following month) and totals of taxable sales and tax collected by state, for a person to type into each state return. Kinnow does not file on a state portalAccounts executive, then your tax adviser
Exemption certificatesA reference or a reason is expected on any line with zero tax, so a machine sold to an exempt buyer is backed by a document. A list of certificates is completed with early-access customersAccounts executive
Sales-tax permit and nexusA tracked permit for each state. Kinnow does not decide nexus (whether you have enough sales or presence in a state to need a permit); machines shipped into other states can create itTax adviser
Import documentation costLanded-cost entries add freight, duty and clearing to the stock valueAccounts executive
Calibration certificates for instruments in your asset registerA list of what is due, based on the latest certificate for each item; a reading outside tolerance is recorded as failedService manager
Payroll for engineers and staffFederal income tax withholding and FICA (Social Security and Medicare tax) in the payroll run; state income tax is not included, and each payslip says soHR head

Questions

Does an equipment sale create the service agreement automatically?

Not on its own. When a machine with a serial number is dispatched, each serial is added to the customer's installed base. You enter the warranty end date yourself, because the dispatch does not carry the commercial terms, and a person creates the AMC from the contract. Once an AMC is active, Kinnow watches the renewal date.

What does the installed base do for a service call?

Every ticket works out what the customer is covered for: under warranty, under AMC, chargeable, or unknown. Unknown is never billed. If a machine has no warranty date and no contract, Kinnow asks for the date instead of guessing.

Can Kinnow recover warranty costs from manufacturers?

It finds the candidates and tracks claims. A warranty list holds each manufacturer warranty, each claim is followed through to settlement, and the Warranty recovery agent lists breakdowns you fixed at your own cost on equipment a manufacturer still covers. It matches on dates; a person reads the warranty terms before a claim goes out.

Do engineers get a mobile app?

Dispatch, scheduling and visit capture run in the browser, and that works in a phone browser. There is no dedicated app and no offline mode.

Can we bill service work?

When a billable service work order is completed, the amount goes onto the customer's account in your books. Service effort recorded as non-billable raises a warning, so unbilled work does not quietly eat margin. Whether a state taxes the service is confirmed with your tax adviser.

Who approves a large order?

A sales order, a customer credit limit and a purchase order above values you set need approval, and the United States setup adds sign-off on large invoices and sales-tax returns. Starting figures are reviewed with you in dollars.

How long to set up, and when does the US edition open?

About two weeks to first results for one company. Your installed base is brought in during the first week so renewals are watched from day one. The United States edition is available from early 2027.
