Pact: Every recurring contract, from lease to AMC.
One place for leases, equipment, software, supplier, customer and AMC agreements, from signing to renewal. Rent rises, CAM, turnover rent, deposits and promises in the contract are tracked. If you drafted a lease, a second person must approve before you sign it, and cutting the rent also needs a second person.
What does Kinnow Pact do? One place for leases, equipment, software, supplier, customer and AMC agreements, from signing to renewal. Rent rises, CAM, turnover rent, deposits and promises in the contract are tracked. If you drafted a lease, a second person must approve before you sign it, and cutting the rent also needs a second person. Nothing is filed, paid or posted without a person.
Monday morning, before and after
A family that owns a 60-shop commercial complex usually runs it on a lease folder, an Excel rent roll and a WhatsApp group with the shop owners.
| Lease management today | Lease management on Kinnow |
|---|---|
| A rent rise falls due in April and is noticed in June when the tenant queries the bill | The rent rises due are listed, each step applied in order, and a missing index figure stops the rise instead of billing a guess |
| Each shop sends its monthly sales by email or WhatsApp, and turnover rent is worked out on a calculator | Daily shop sales come in from the till system or are entered by hand; turnover rent by sales slab is worked out with the working shown |
| Common-area costs are split on a sheet that nobody can reproduce when a tenant disputes it | The shared cost is split across the units of one property by area, revenue, equal shares or your own shares, and the method is recorded |
| The deposit sits in a bank account and a note; at exit nobody remembers what to deduct | Each deposit is marked Held, compared with the current rent, and settled with a written reason for every deduction |
| The AMC visit, the insurance certificate and the fit-out date live in a clause nobody queries | Promises in the contract are tracked with due dates; the list puts the worst first, with the reason |

A real cycle: one shop lease, from draft to renewal
| Step | Who | What Kinnow does | Where a person decides |
|---|---|---|---|
| 1. Draft | Leasing manager | Creates the lease: property, unit, tenant, dates and rent. Paste the contract text and Pact suggests clauses: rent rise, notice, lock-in, deposit, insurance, termination and others | Manager confirms each clause, and separately chooses whether to track it as a promise with a date |
| 2. Negotiate and sign | Leasing manager and approver | Records the signed date and document. Pact will not let you start an unsigned lease | If you drafted the lease, a second person with the right to approve leases must approve before you sign |
| 3. Start the lease | Leasing manager | The lease goes live and the rent clock starts | Needs permission to edit |
| 4. Deposit and meters | Accounts executive | Records the deposit and shows any shortfall against current rent; meter readings are charged on the difference from the last reading | A reading lower than the last is refused unless a reason is given |
| 5. Bill monthly | Accounts executive | Raises rent, CAM and metered charges on your billing cycle; one invoice per lease per month | A second invoice for the same month is refused; a correction is saved as a numbered revision |
| 6. Check before sending | Accounts executive | The invoice check says whether to invoice yet and, if not, why; the rent-against-clause check lists invoices that do not follow the lease | The executive raises the invoice; the check creates nothing |
| 7. Rent rise | Leasing manager | Applies the earliest rent rise due, within the caps and floors in the lease, and records why | A rent cut beyond the range you set is held for a second person |
| 8. Turnover and CAM | Accounts executive and property manager | Matches reported sales with the till; splits the shared CAM cost | Posting the CAM settlement needs manager-level permission |
| 9. Renew or end | Leasing manager and owner | Renewal says whether the new rent is at or above the old; ending a lease records the reason; the deposit is refunded after deductions | Ending a lease needs manager-level permission; a rent cut on renewal needs a second person |
How a lease moves, step by step
A lease moves through eight stages in order, so it cannot skip a step.
Tell us how many leases you hold and which charges you bill. We will show the same cycle on them.
Documents, lists and reports
| Output | What it shows |
|---|---|
| Lease book, vacancy and expiry lists | Every lease; units ended or lapsed; live leases expiring soon (the next 90 days unless you change it), with true totals across the whole book |
| Rent and CAM invoices, with PDF | One per lease per month, with revisions numbered; also charges for metered usage |
| Rent rises due | Live leases with a rent rise that has fallen due and not been applied |
| Turnover reconciliation | Working slab by slab, the effective rate, and which minimum was used |
| Daily sales record | Each shop's reported takings by day, with a warning where the net figure does not match gross less tax |
| CAM statement (draft) | Month by month: the share, what was billed and the difference. A draft; nothing is sent |
| Deposits and unsettled deposits | Amount held, shortfall against current rent, deductions with reasons, and deposits still held on ended leases |
| Promises and what is at stake | Due and missed promises, worst first; what you owe and are owed, never netted off |
| Revenue position | Contracted, earned and deferred base rent, per lease or across the book, as on any date |
| Audit pack (draft) | Invoices, receipts, credit notes, shares, readings and rent changes for a tenant's audit request, and what is missing |
| Portfolio and brand mix | Occupancy, when leases expire, and share of let area by type of tenant |
Agents that work here
CAM Recovery
Finds common-area maintenance charges you have not fully recovered from each tenant, and helps you recover them.
PactLease Renewal
Suggests renewal terms from the current rent and the yearly rise in the lease. A renewal that cuts the rent below the limit you set waits for a second person to approve it.
Pact + SellVacancy Filling
Suggests an asking rent for an empty unit based on comparable leases.
Pact + KnowTenant Renewal Sentiment Planned
Flags tenants at risk of leaving before renewal.
Each agent is checked with you before it works on your books, and everything it produces waits for a person. Also here: Lease Term Optimizer, Tenant Onboarding and Obligation Chaser, which drafts the reminder and sends nothing, plus checks you can run when needed for rent against the lease, utility recharges, CAM statements and audit packs.
Ask Kinnow, for this area
Ask in plain English; the answer shows where it came from and the records behind it.
| Question | What the answer contains |
|---|---|
| Which leases expire in the next 90 days | The expiry list: units, tenants, end dates and current rent |
| Which shops are vacant | Units that ended or whose term has lapsed, with the last rent |
| Which deposits are still held on ended leases | The unsettled list: either a refund forgotten or a forfeiture not recorded |
| Which rent rises are due and not applied | Leases with a rent rise due, starting with the oldest one not yet applied |
| What promises in contracts are overdue this month | Missed and at-risk promises, worst first, with the reason |
| What did shop 14 report last month | Daily reported sales and the turnover rent that follows from them |
Answers come from your lease records. The wording is written with names and ID numbers held back by Veil, our privacy layer, which covers Ask Kinnow and most agents today.

Controls an owner cares about
- Viewing the lease book, drafting, managing and deleting are separate permissions. Ending a lease and posting a CAM settlement need manager-level permission, a step above drafting.
- The person who drafted a lease cannot sign it alone; a second person approves first.
- A rent cut, through a rent rise clause or a renewal, is held for a second person if it goes beyond the range your admin sets. If you set no range, every cut is held. An approval covers only the exact rent it was given for.
- A deposit deduction needs manager-level permission and a written reason; you cannot deduct more than you hold.
- Waiving a promise in a contract needs manager-level permission and a reason, so a waiver cannot be mistaken for a deleted line.
- A clause that Pact picks out of the contract changes nothing until a person confirms it; a rejection is kept with the reason.
- Leases, CAM and invoices belong to the company you are working in, and CAM is split property by property, never across your whole account.
- Tenants see only their own leases and invoices in the portal.
Connects to
Pact takes tenant sales from the till system or a link to other software, and receives AMC contracts created at project handover from Build. Vacancies connect to Sell, receivables to Account, and leases and renewals feed Know. Tenants sign in to the portal with a one-time code. Mall and property owners will find the ready-made industry setup under Real Estate and Commercial Property.
Questions
Is Pact only for real estate?
No. The same setup handles property leases, equipment leases, software licences, supplier and customer contracts and AMCs. You pick the contract type, and non-property contracts do not carry property terms. Mall and commercial property owners use the most of it: CAM, turnover rent, deposits and the tenant portal.
Does Pact handle percentage rent?
Yes. Daily shop sales come in from the till system, a link to other software or manual entry. Turnover rent is worked out in slabs, each rate applying to the part of turnover inside its slab, and compared with the guaranteed minimum; the higher of the two is charged. The working is shown slab by slab, with the effective rate.
Who has to approve what?
Signing a lease you drafted yourself needs a second person with the right to approve leases. Lowering the rent through a rent rise clause or a renewal needs a second person when the cut is bigger than the range your admin sets; if no range is set, any cut needs approval. Ending a lease and posting a CAM settlement need manager-level permission, which is given separately from drafting. Each approval covers only the exact act it was given for.
Does lease billing post to the ledger?
Not yet. Pact raises rent and CAM invoices, but Account does not pick them up yet, so the receivable is recorded on the finance side separately.
Can we bring our existing leases across?
Yes. Leases and contracts of every type come in together. A contract needs both dates, a live contract has to carry rent, a terminated one needs its termination date, and rent with no currency is refused. Bringing contracts in does not start anything: no approval request, no rent rise and no first invoice is raised on an old contract. About two weeks to first results is the usual path.
What happens when the agent is wrong?
Agents draft and suggest; they do not act alone. A clause that Pact picks out is only a suggestion, shown with the sentence it came from, until a person confirms it, and a rejected clause stays on the record with your reason. Every agent is checked with you before it works on your books.
Can tenants see their own account?
Yes. Tenants sign in with a one-time code, see only their own leases and invoices, download the PDF and raise complaints that land in your team's list.
