What does Kinnow Stock & Ship do? Items, lots and a record of every stock movement; bins, picking and rolling stock counts; trips, lorry receipts and proof of delivery. When a cold-chain reading goes out of range, the affected stock is put in quarantine automatically, and a nightly stock valuation feeds the trading account in Account. Nothing is filed, paid or posted without a person.
Your store and your dispatch desk on a Monday, before and after
Most owners run stock from a store register, a physical walk-round and a phone call to the driver.
| Job | Today, in a typical Indian SME | On Kinnow |
|---|---|---|
| Reordering | The buyer scans an Excel sheet and orders again what is already on its way. | The reorder list subtracts what is already on order, so an item drops off the list once its order is placed. |
| Picking | The oldest stock sits at the back and the newest ships first. | The pick list names the lot that expires first, or came in first. If a different lot is picked, the supervisor is told. |
| Expiry | Short-dated stock is found at the audit. | Each night, lots past their expiry date are marked expired and can no longer be issued. |
| Recall | Someone searches invoices for a batch number. | Type the batch. See the supplier it came from and the customers who received it. |
| Stock count | The yearly count shuts the godown for two days. | Rolling counts, with items ranked by stock value, last count date and past differences. |
| Trucks | The vehicle leaves and the insurance lapsed last week. | A trip cannot start with expired vehicle papers or an expired driver licence. |

Walk through one order, from receipt to delivery
A distributor with a store keeper, a warehouse supervisor, a dispatch clerk, a transport manager and drivers.
- Expected goods. An approved purchase order from Buy shows up as stock on order. If the goods come by courier, the shipment is entered and tracked, and linked to the receipt when it arrives.
- Receipt. The store keeper records the goods receipt with the batch, expiry and quantity. Each line is accepted, quarantined or rejected. A short, over or rejected line can have a supplier claim drafted from the receipt.
- Put-away. Kinnow suggests where to store the goods, by zone, rack and bin. The task is marked done once the goods are placed.
- Stock on hand. Stock is kept by item, warehouse and lot, with its cost. When it falls below the safety level, a reorder draft goes to the purchase desk.
- Order and pick. A delivery order from Sell generates a pick list. The lot is chosen by earliest expiry first, or oldest stock first. Pick lists are grouped into batches, each with one walking order. Short lines are listed for the supervisor.
- Pack and dispatch. The packing station produces the packing slip. Dispatch reduces stock. The invoice and e-Way bill come from Sell and Comply.
- The trip. The transport manager plans a trip with a vehicle, a driver and the deliveries. The trip is refused if the vehicle's fitness, insurance, registration, pollution certificate or permit has expired or will expire during the trip, or if the driver's licence has. Lorry receipts are issued.
- Delivery. Each stop is completed with proof of delivery. A delivery with confirmed proof is listed as ready to invoice. A claim for vehicle waiting time can be drafted from the times the vehicle stayed.
- Freight. The freight bill is built from the trip, approved and posted to Account, with its tax worked out or held to be tried again.
- Counts and write-offs. A stock count is planned, the difference found is sent for approval, and a write-off is approved by a different person and then posted.

Agents that work in Stock and ship
Each agent does a piece of the store's or the transport desk's work and hands it back. Each is checked with you before it works on your stock, and everything it produces waits for a person.
FEFO/FIFO selector
A rule built into the pick list: it uses the lot that expires first (FEFO) or the one that came in first (FIFO), as you choose when the list is made, and checks again when the pick is confirmed.
StockStock Forecaster
Forecasts demand for the next 30, 60 and 90 days for each item and warehouse, with a suggested safety stock and reorder point. It never acts on its own.
StockSlow-mover Detector
Finds stock that has not moved for a set number of days and ranks it by the money tied up in it, so you can review it.
WarehousePick-path Optimizer
Groups pick lines into waves by zone and puts each wave's stops in bin-code order, so a picker works along the zone.
Also here: an expiry watch, cold-chain quarantine, stock-count prioritising, a stock health summary, suggested storage places, pick-batch planning, supplier claims drafted from receipts, courier status checks, vehicle paper alerts, a check of freight bills, waiting-time claims, trip settlement and an invoice prompt once proof of delivery is in.
Ask Kinnow, for your stock and dispatch
Ask in plain English. Before it runs, Kinnow shows where the answer will come from and what it will cost, and it uses only what the person asking may see.
| Question an owner would type | What comes back |
|---|---|
| Which items will run short at the main warehouse next week? | Items with quantity left and quantity needed, from stock cards, open orders and sales history. |
| Which batches expire in the next 60 days? | Batches by expiry date, with quantity and location. |
| How much money is locked in stock that has not moved in 60 days? | Dead stock by item and warehouse, with its value. |
| Where did batch number 2418 come from, and who received it? | The supplier and receipt, and the customers and dispatches it went to. |
| Which vehicles have papers expiring this month? | Vehicles with the document and the date. |
| Which deliveries have proof of delivery and are ready to invoice? | Confirmed deliveries with the customer and the order. |
| What is our stock worth, warehouse by warehouse? | The latest valuation by warehouse. |
Bring the stock questions you ask your store keeper every week.
Controls an owner cares about
- Write-offs need a second person. The approver cannot be the person who raised it, and a stock count adjustment follows the same rule.
- Quarantine blocks issue. A lot in quarantine or past expiry cannot be issued.
- Papers must pass before a trip. Vehicle and driver documents are checked when the trip is created and again when it starts.
- Reservations expire. A stock reservation lapses after a time you set, so held stock returns to sale.
- Cost changes are visible. A change to a lot's cost leaves a record and posts a revaluation to Account.
- Veil. Tax and bank numbers are held back, and names are swapped for placeholders, before an AI call. It covers Ask Kinnow and most agents today.
Connects to
- Buy: purchase orders show as on order; goods receipts feed bills and the full landed cost.
- Sell: delivery orders become pick lists; dispatch reduces stock; returns add it back.
- Account: freight bills, stock revaluation, landed cost and the nightly stock valuation.
- Comply: the e-Way bill for the movement.
- Make, Maintain and Serve: material issues, spare parts and service jobs draw from the same stock.
- Tills: point-of-sale sales reduce stock.
Questions
What happens when a cold-chain reading goes out of range?
If a reading stays outside the tolerance for longer than the allowed time, every active lot of the affected items in that warehouse moves to quarantine in one step, and the alert goes out. By default the cold-room tolerance is 0.5 degrees for 10 minutes, the freezer 1 degree for 5 minutes and ambient 2 degrees for 30 minutes, and you can change them per warehouse. Quality then releases the stock or writes it off. The sensors stay with your own provider; Kinnow takes their readings.
Can we trace a batch for a recall?
Yes. Batch tracing follows the stock record back to the receipt and the supplier, and forward to every dispatch and customer. It is built for food, pharma and any batch-controlled stock.
What stops a truck leaving with expired papers?
A trip cannot be created or started if the vehicle's fitness, insurance, registration certificate, pollution certificate or permit has expired, or expires inside the trip window. The same applies to a driver whose licence has lapsed or lapses in that window.
Is there a mobile app for the warehouse and drivers?
Not yet. Scan-first picking and proof-of-delivery capture work in the phone browser and need a connection. There is no offline mode.
How do we move our stock across from our current software?
Opening stock is uploaded by item, warehouse and lot. Vehicles, trips and lorry receipts can be uploaded too. Running Kinnow side by side with your current software, with live reading from it, is not part of this release, so plan the move at a stock count. First results take about two weeks.
Who approves a stock write-off?
A write-off is raised, approved by a different person with a manager role, and only then posted. A write-off above your limit also goes to a named approver; the India set-up uses ₹1,00,000. A shortfall found in a stock count is booked as a loss without reducing stock a second time.
Does a write-off post the loss to the accounts?
Not yet. The write-off reduces the stock and keeps its record, but the loss entry in Account is posted by your accountant. The nightly stock valuation, which feeds the trading account, does reflect the lower stock.
