Monday morning, before and after
The owner of a 40-person trading firm, a CA practice or a small manufacturer usually gets the previous week's numbers on Monday afternoon, from whoever has time to build them.
| Monday today | Monday on Kinnow |
|---|---|
| An accountant exports sales and stock to Excel on Friday and builds a pivot over the weekend | The Monday digest reaches the owner at about 7 am, by email and WhatsApp: the week in numbers, the alerts that need action, trends and anomalies |
| "Which customers drove our margin?" goes to the analyst and comes back in two days | Type the question in plain English; the answer comes as a chart or table, with the measure and source it used |
| A fall in gross profit percentage is noticed at month-end review | The unusual-movements scan compares nine measures with their own recent average and lists what moved, most serious first |
| Each branch head keeps a private sheet; two people quote two different "sales" figures | One agreed list of definitions, so everyone who asks for sales gets the same figure |
| The CA asks for a trial balance or a GST register and waits for the accountant to export it | Open the report, set the dates, run it, export the whole report to Excel or CSV |

A real cycle: from a question to a decision
Take a distributor's owner on a Monday. This is the path from a doubt to an action, and where someone on your team makes the call.
| Step | Who | What Kinnow does | Where you decide |
|---|---|---|---|
| 1. Digest arrives | Owner | Sends the week in numbers, alerts, trends and anomalies, with a short written summary; the figures are calculated from your records and the AI writes only the commentary | Owner reads and picks what to look into |
| 2. Ask a question | Owner or sales head | Reads the question, matches it to one of your agreed definitions, asks one clarifying question if it could mean two things, then returns a chart or table | Asker accepts the answer or refines it |
| 3. Check the source | Accountant | Shows the definition, the filters and the report behind the number; Veil holds names and identifiers back while the plain-language explanation is written | Accountant confirms the figure is defined the way the firm means it |
| 4. Pin it | Sales head | Saves the view or adds it to a dashboard; private to the maker until shared | Maker chooses private, everyone, or named roles |
| 5. Something unusual shows up | Finance manager | Lists the measure, how far it moved, and how serious it is from low to critical, with a reason for the flag | Manager closes it and records the reason, for example "one-time bulk order" |
| 6. Drill and act | Owner and department head | Opens the application the number came from, so you act where the record lives | The action itself follows that application's own approvals |
| 7. Share with the team | Report maker, then an approver | A shared report waits for a second person with the right to approve it | Nobody approves a report they put forward themselves |
| 8. Definitions stay honest | Data steward | Lines up new or changed definitions; refined ones show a "definition updated" note | Steward approves or declines each proposal |
How the work moves
The reports it gives you
Analytics (Know) comes with a ready-made set of reports across finance, sales, inventory, compliance, HR and monitoring, with more for each industry. More than 150 are active; a few are retired, each with its reason shown on the report, so you are never shown an empty grid that looks like "no data". You can filter reports by date, branch, party and similar fields; they show totals at the bottom and export in full to Excel or CSV.
| Report | Group | What it gives you |
|---|---|---|
| Trial Balance, Profit and Loss, Balance Sheet, Cash Book | Finance | The books at a date or over a period, for the owner and the CA |
| Outstanding receivables and payables ageing; open items | Finance | Which parties owe what, in age bands, and the bills behind each band |
| TDS report and vendor-wise TDS report | Compliance | Tax deducted by party, for return preparation |
| GST sales report, in sections: B2B, B2C small, exports, credit and debit notes | Compliance | Sales arranged the way the return is read |
| HSN summary | Compliance | Quantity and value by HSN code |
| Stock valuation; dead stock | Inventory | What stock is worth and what has stopped moving |
| Salary register; headcount | HR | Pay by employee and strength by department |
| Customer ROI dashboard | Monitoring | What the agents did for you in the period and the hours saved |
Reports can be scheduled to go to people by email; an administrator sets the schedule.
Ask us to run these reports on your own numbers before you decide anything.
Agents that work here
NL-query
Turns a question in plain language into a chart or table, using one agreed set of definitions for your numbers.
KnowAnomaly Detector
Checks nine business figures for unusual movements whenever an administrator or your scheduler starts a scan, and lists them in the Anomaly Feed, most serious first.
Account / KnowCash-flow Forecaster
Builds a rolling cash forecast for the next 30, 60 and 90 days from post-dated cheques, bills due and how customers have paid in the past, with a range around each figure to show how sure it is.
KnowMarket Intelligence
Set up with you to write a weekly market brief, including what it means for your operations.
We check each agent with you before it works on your books, and everything it produces waits for your team. Nothing is filed, paid or posted without a person. Also in this application: Reporting Agent, Executive Digest, Report narrator, Exception sweep and the Semantic Gate Engine. Relationship Intelligence, Contract Intelligence and Tenant Renewal Sentiment are planned.
Ask Kinnow about your numbers
Questions an owner would type. Each answer shows its source and the definition it used, so you can check it before you rely on it.
| Question | What the answer contains |
|---|---|
| Show gross profit percentage by item group for last quarter | A chart by item group on gross profit, with the quarter worked out against your April to March year |
| Top 10 customers by revenue this year | Ranked customers with revenue and margin contribution |
| Collection efficiency by branch for the last 90 days | Branch-wise collection percentage against receivables, over the window you named |
| Debtor days by customer last month | Days outstanding per party, largest first |
| Dead stock percentage by warehouse this year | Share of stock value that has not moved, by warehouse |
| Which suppliers delivered on time this quarter | On-time delivery percentage by supplier |
| Payroll cost per head by department | Total pay and cost per head, worked out from payroll records and marked as a custom result |
Gross-profit questions are answered at invoice-line level. Operating expenses and journal-level questions are not answered this way; use the financial statements or a report. Where Kinnow cannot answer safely it says so and lists what it can answer.
Bring the five questions you ask your accountant every week. We will put them to Kinnow with you.
The controls an owner cares about
- Know only reads. It keeps its own copy of the figures for reporting and never edits sales, stock or finance records.
- Dashboards and saved reports are private to their maker. Sharing is a choice: everyone, or named roles. Managers and admins can see all.
- A report shared with everyone is checked by a second person with the right to approve it. You cannot approve your own; changing how it works sends it back for approval, a rename does not.
- Draft definitions are marked as drafts, and a draft figure never goes out in a scheduled email or an outside PDF until a steward approves it.
- A steward can refine, retire, re-confirm or merge a definition, and see which dashboards use it before changing it.
- Every report and dashboard covers the company you are working in, so one company's figures and the group's are not mixed.
- Veil, our privacy layer, holds names and identifiers back before the AI writes the plain-language explanation. It covers Ask Kinnow and most agents today.
- Unusual movements are closed with a reason and kept for audit.

Questions
Do we need Know to ask questions of our data?
No. Ask Kinnow comes with the Core and answers across the applications you own and your documents. Know adds saved dashboards, the ready-made reports, the unusual-movements feed and the Monday digest.
How do you stop the AI from inventing numbers?
A question is matched to an agreed definition first, and the number comes from your own records; the AI only writes the sentence around it. If a question does not match a defined measure, Kinnow proposes a new one for your data steward to approve, clearly marked as a draft, and it does not guess.
Can we move our existing reports over from desktop accounting software, Excel or another ERP?
The ready reports run on the records held in Kinnow, so the work is bringing in your masters and opening balances; about two weeks to first results is the usual path. A report you rely on that is not in the ready-made set can be rebuilt from your agreed definitions.
Who receives the Monday digest?
Your company account's registered admin email and contact email, by email and WhatsApp, around 7 am in your own time zone. If neither address is recorded the digest is not sent to a guessed recipient, so set them under Admin first. A week with no data produces no digest.
Does Kinnow watch for anomalies every night?
Not by default. The scan for unusual movements runs when an administrator starts it, or on a schedule set up for you. Agree how often with us at set-up; it is not switched on automatically.
What happens when an answer is wrong?
Every answer shows its source, so you can open the report behind it. A steward can refine, retire or merge a definition; reports that use it show a 'definition updated' note and are recomputed going forward. Past numbers are not rewritten silently.
Can Know change our sales or stock records?
No. Know only reads. It keeps its own copy of the figures for reporting and never writes to another application's records.
Can we export a report?
Yes, to Excel and CSV, and the whole report is exported, not just the page on screen. A PDF is produced on the server but has no button on the screen yet.
Start with one need. Switch on the next in a day. Same records, same login, no new licence.
