Your accounts team on a Monday, before and after
Most owners we meet run the books on desktop accounting software, a bank statement open in Excel and a WhatsApp group with the accountant. This is the same Monday on Kinnow.
| Job | Today, in a typical Indian SME | On Kinnow |
|---|---|---|
| Bank reconciliation | The accountant ticks off the bank statement against the ledger line by line. A single NEFT that paid three invoices takes an hour to untangle. | Four matching rules run first: exact amount and date, a cheque or UTR number in both narrations, a bank line equal to the sum of two to five entries for one party, and a close-enough amount for review. You confirm only what is left. |
| Customer receipts | A cheque arrives and someone decides which invoices it clears. The rest sits as an unexplained credit. | The receipt is offered against the oldest open invoices first. You accept it or change the order. Anything left over becomes an advance that the next invoice picks up. |
| Month-end close | On the 5th the owner asks if the books are done. Nobody is sure what is pending. | A checklist of twelve checks shows what is blocking the close, with the entries or bank accounts behind each one. |
| Journal entries | Anyone with access to the desktop accounting file can post a voucher, including back-dated ones. | Hand-typed journals wait for a second person. A closed month refuses new entries. |
| MSME payments | The 45-day rule is found out when the auditor disallows the expense. | Bills from MSME suppliers are flagged as they approach day 45, with a suggested payment batch for the cash you have. |
| Cash view | The owner phones the accountant for the balance and asks which cheques are due. | A cash position, and a rolling 30, 60 and 90-day forecast built from post-dated cheques, bills due and how customers actually pay. |

Walk through one month-end close
Here is how it runs for a mid-sized company with one set of books, a finance manager and two accountants.
- Through the month, the ledger fills itself. Sales invoices, purchase bills, payroll runs, expense claims, till takings and hotel night audits reach the ledger from the application they came from. The accounts executive looks only at what was typed by hand.
- Hand-typed journals are checked and approved. The double-entry validator turns back a journal that does not balance or points to a ledger that does not exist. A hand-typed journal, or any journal of ₹5,00,000 or more by default, goes to someone other than the person who wrote it. If they reject it, they write down why.
- The bank is reconciled. The accounts executive imports each bank statement. Each match comes with its reason. Every bank account must be reconciled up to month-end before the close can pass.
- Receipts are tied to invoices. Receipts are matched to the invoices they pay. The total receivable and payable in the ledger must equal the sum of the individual customer and supplier balances; a journal line with no customer or supplier on it is caught here.
- Depreciation, leases and revenue are run. The senior accountant runs the month's depreciation on active assets, spreads lease costs and books revenue on contracts.
- Pre-close. The finance manager, who has administrator rights in Account, starts the pre-close. The Close Checklist agent runs the twelve checks, plans the fixes it can (a depreciation run, an elimination between group companies, a bank reconciliation) and drafts a note wherever profit or loss is 10% or more off budget.
- GST and TDS are confirmed. The close asks whether GSTR-1 is prepared, GSTR-3B is self-assessed and the TDS deducted matches the 26Q preview. These come from the Comply application. In India, a close without GSTR-1 prepared or GSTR-3B self-assessed is stopped by a rule, and an unmatched 26Q gives a warning.
- Close. An administrator closes the month. Seven checks must pass or the close is blocked: trial balance ties, no draft or pending journals, banks reconciled, receivables and payables tie, intercompany balances, and the stock valuation roll. Five are softer and can be passed with a written reason against each: the two GST returns, the TDS match, depreciation and the budget variance.
- Lock, or reopen with a reason. After review the month is locked and nothing can change it. Until then, reopening needs Controller-level access and a written reason, and the month's history records it.
Ask us to run a close on your numbers, with your twelve checks.
Statements, registers and reports
Every report says how recently it was refreshed.
| Output | What it gives you |
|---|---|
| Trial balance | By company and period, the check that debits equal credits. |
| Profit and loss | With a comparative period, a cost-centre view and a division view. |
| Balance sheet | With a comparative period. |
| Cash-flow statement | With the lines behind each figure, and a separate cash position. |
| Financial ratios | Working capital, current ratio, debt-to-equity and return on capital employed. A ratio that cannot be computed shows the reason, not a zero. |
| Day book and account ledger | Every entry by day; the ledger of any account. |
| Receivables and payables ageing | Open items by party, with a customer statement for any party. |
| Bank reconciliation | Unreconciled entries per bank account and the statement they were matched against. |
| Fixed-asset register | By category, with net book value, a month-by-month depreciation schedule and disposal gain or loss. Straight-line and written-down value. |
| Cheque lists | Post-dated cheques due and cleared or bounced; security cheques held, released or invoked. |
| TDS 194Q | Deductions by supplier and a check against the ₹50,00,000 limit, for the quarterly return. |
| Budget against actual | Variance report with alerts when a line overruns. |
Agents that work in Account
Each agent takes over one piece of an accounts executive's day and hands the result back for review. We check each one with you before it touches your books, and what it produces waits for your team.
Close Checklist
Runs the twelve period-close checks, helps clear the ones holding up the close and drafts the commentary on variances. A person confirms the close.
AccountBank Reconciler
Matches bank lines to receipts ahead of time and shows why it matched each one. Lines it is unsure about come up as suggestions only and are never committed on their own.
AccountDouble-entry validator
Stops any journal entry that does not balance, or that uses a ledger that is not valid, before it can be posted.
AccountAI Invoice Extractor
Reads the text of a supplier invoice and fills in the bill for you, checking that the amounts add up before anything is saved.
Sell + AccountCollections
Drafts overdue reminders and steps them up according to how many days a payment is actually late. A person approves each reminder before it goes out.
Account / KnowCash-flow Forecaster
Builds a rolling cash forecast for the next 30, 60 and 90 days from post-dated cheques, bills due and how customers have paid in the past, with a range around each figure to show how sure it is.
Also here: ledger categoriser, profit and loss explainer, overdue interest, post-dated cheque alerts, revenue recogniser, lease amortiser and the 45-day MSME watchdog.
Ask Kinnow, for your accounts
Ask in plain English. Before it answers, Kinnow shows where the answer will come from and what it will cost, and it uses only what the person asking is allowed to see.
| Question an owner would type | What comes back |
|---|---|
| Which customers owe us more than 60 days, oldest first? | The receivables ageing, party by party, with the invoices behind each total. |
| Which supplier bills are closest to their agreed payment window? | Bills ranked by days left, with the MSME suppliers marked. |
| Why did profit fall in August? | The profit and loss for August set against July, with the accounts that moved most. |
| Is September ready to close, and what is blocking it? | The twelve checks with a pass or fail each, and the entries behind any failure. |
| How much cash will we have in 60 days? | The rolling forecast with its confidence band and the cheques and bills it rests on. |
| Which journals were posted on a Sunday or back-dated this quarter? | The entries the journal checks flagged, with who posted and who approved each. |

The controls an owner cares about
- Two sets of eyes. A hand-typed journal, and by default one of ₹5,00,000 or more, needs an approver who is not the author. In India, a journal above ₹10,00,000 also goes to a named person for sign-off.
- Nothing is deleted. A wrong entry is reversed, so the trail is complete.
- Closed months stay closed. Posting into a closed or locked month is refused. Reopening is Controller-only, needs a reason and is recorded.
- Six journal checks run without any AI: the same user posting and approving, possible duplicates, dormant accounts coming back to life, unusual amounts, entries just across a period boundary, and weekend postings.
- Veil. Bank, tax and ID numbers are held back, and names are swapped for placeholders, before anything goes to an AI. This covers Ask Kinnow and most agents today.
- Roles. Four levels in Account: viewer, accountant, manager and administrator. Closing the month, and the guided close, need an administrator.
Connects to
Account is the ledger that the rest of Kinnow writes into.
- Sell: invoices, credit notes and receipts arrive here, and collections follow up from the ageing.
- Buy: purchase bills, expense bills, landed cost and supplier payments arrive here.
- People: approved payroll and expense claims arrive here.
- Stock and ship: the stock valuation roll-forward is one of the close checks, and freight bills arrive here.
- Comply: GST and TDS are prepared from these books, and the close asks whether they are done.
- Tills and hotel night audits send in takings and room revenue, and Pact ancillary charges arrive here too.
Questions
Does Kinnow post journals automatically?
Documents post themselves into the ledger from the application they came from: a sales invoice, a purchase bill, a payroll run, a till closing. A journal typed by an accountant is different. A hand-typed journal, and by default any journal of ₹5,00,000 or more, waits for an approver who is not the person who entered it. You can change that ₹5,00,000 limit. Agents draft and pre-match; your team posts and approves.
Can we move over from our current accounting software?
The chart of accounts imports from a CSV export of your current accounting software, and opening balances load as one opening journal. If the trial balance you bring does not tie, the difference is parked in a named suspense account and shown to you, so nothing is hidden. A two-way link with your current accounting software is still in build, so plan a clean cut-over at a month-end. First results take about two weeks.
Who closes the month, and who can reopen it?
An administrator in Account runs pre-close and closes the period. Passing a close with one of the five softer checks failing needs a written reason against that check. Reopening a closed month needs Controller-level access and a written reason, and is recorded. A locked month cannot be reopened.
Which accounting standards are covered?
Revenue recognition under Ind-AS 115, leases under Ind-AS 116, asset components under Ind-AS 16 and segment reporting under Ind-AS 108 are built. Parallel ledgers under more than one accounting standard are not.
What happens when an agent gets a bank match wrong?
You unmatch it and the bank line returns to the queue. Every match shows the rule behind it, so a wrong one is easy to spot. We check each agent with you before it works on your books, and nothing is filed, paid or posted until someone on your team has looked at it.
Does Account file GST or pay my suppliers?
No to both. Account keeps the books and feeds the GST application, which prepares each return for you to review and upload on the portal. There is no supplier payment run or bank payment file in this release.
Is the audit trail complete?
Nothing is deleted. A mistake is reversed by a new entry, and every period change, approval and override carries who did it, when and why.
Month-end close: twelve checks, seven must pass, only the Controller reopens. Each comes from your industry's processes, with an owner on every step and a clock on every hand-off. See the processes →
