Change approvals safely, see the impact first
Change approval rules in plain words, see which pending items are affected, trial it quietly, then go live.
Live in partWhat does Change who approves this do? Process changes stop needing consultants or IT tickets, and no change quietly strands approvals already underway.
How it works
Pick a document type, an optional amount and who should approve; Kinnow states the rule in one sentence. Before you save, it counts the waiting items that would change route, and lists unclear ones as 'cannot tell'. Stricter rules can run as a silent trial first. Every version is kept with a plain summary and a one-click restore.
The drafting assistant can only pick from set options and never applies a change; every proposal waits for a person it.
- Records whose impact cannot be worked out are labelled 'cannot tell', not 'unaffected'. Items already in progress keep the sign-off order they started with.
Step by step
- An admin opens the approvals screen. In Admin, choose "Change who approves something".
- Say it in your own words, or pick from a list. For example, "purchase orders over 5 lakh need the finance manager". Or pick the kind of record, who approves, the amount, and how many people must approve.
- Kinnow states the rule back. It is written in one sentence. The helper only picks from set options, and if it reads a different amount from your words, your words win.
- See what it would do. "Show what this would do" counts the records now waiting that would have gone to different approvers. Older ones it cannot work out are shown as "cannot tell".
- A stricter rule runs as a trial. The current rule still decides every record. The trial is run on each new record, showing how many would go differently.
- Send it for approval. Nothing changes until someone approves it. Then it applies to new work, and records already waiting keep the steps they were given. Every version is kept with a plain summary and a button to put it back.
What you see on screen
- Change who approves something. A box to say it in your own words, then the questions: which record, who should approve, above what amount, how many people.
- Impact. "12 records now waiting would have gone to different approvers under this rule", with "For 3 older ones we cannot tell".
- A stricter rule is on trial. Counts of new records seen and how many would differ, with an example, and a "Drop the trial" button.
- History of this rule. Version lines such as "Step 2 added: finance manager", with who changed it and when, and "Put this version back".
