Maintain: Asset register, work orders and AMCs that keep score.
One asset register with depreciation, work orders that show when you miss the service promise you gave (SLA), preventive maintenance by calendar or meter, spares, warranties, calibration and permits to work. Failure predictions read building-system and sensor alerts and never send commands back.
What does Kinnow Maintain do? It keeps the things you own running and the paperwork around them current. One register for every machine, lift, generator and chiller, with book value and depreciation. Preventive jobs raised for you by date or by meter reading. Breakdown jobs with a clock on the service promise (SLA), spares, and a warranty and AMC check before you spend. Safety permits that must be issued before risky work starts, and a calendar of statutory inspections. Sensors and building systems are read, never controlled. Nothing is filed, paid or posted without a person.
Your Monday morning, before and after
A typical campus, plant or commercial property with a facility head, two or three engineers and an AMC vendor for the lifts and HVAC.
| Today | On Kinnow Maintain |
|---|---|
| Servicing dates sit in a diary and a WhatsApp group. The generator is serviced when someone remembers. | Describe the job once: which asset, how often, what to check. The work order is raised on the morning it falls due, by calendar or by run-hours, kilometres or cycles. A preview shows next week's jobs before you agree to them. |
| A breakdown is called in by phone. Nobody knows if the unit is under warranty, under the AMC, or on you. | When the work order is raised, Kinnow says who pays: under warranty, under AMC, or chargeable. Warranty wins where both apply. |
| An engineer starts hot work (cutting or welding) on a verbal go-ahead. | A job marked as needing a permit cannot start until the permit is raised, its precautions are verified, and it is issued and in date. If something is missing, Kinnow says what. |
| Diesel is bought, burned and written in a book. The month-end difference is a shrug. | Each generator reading is checked: opening plus added minus used must equal closing, or it is refused and Kinnow tells you by how much. The cost per unit is worked out, not typed. |
| The fire NOC and lift licence lapse because the renewal was in someone's head. | Statutory inspections sit on a calendar with due dates, and move from pending to scheduled to obtained, or lapse to expired and come back. |
| The AMC vendor is renewed every year without anyone checking how they performed. | Each AMC carries a score out of 100 based on jobs completed and SLA breaches, and the renewal list shows contracts expiring soon. |
A breakdown, from phone call to closed record
| # | Who | What happens | Where someone decides |
|---|---|---|---|
| 1 | Facility manager, security desk | Raises a work order for the asset: preventive, corrective or breakdown, with a priority and a time target (SLA). | None at this stage. |
| 2 | Kinnow | Checks the asset's warranty and AMC and says who pays: warranty, AMC or chargeable. | The manager sees the answer before spending. |
| 3 | Facility manager | Assigns the job to an in-house technician or to the AMC vendor. | Assignment is the manager's call. |
| 4 | Safety officer | For risky work, raises the permit, verifies each precaution and issues it. | The job cannot start until the permit is issued and in date. |
| 5 | Technician | Starts the job. Parts are issued from the spares store against the work order; if the store cannot cover the whole request, none of it goes out. | None. Each issue is recorded. |
| 6 | Technician | Completes with what failed, why, what was done, parts used, labour cost and how long the asset was actually down. | None. |
| 7 | Kinnow | Flags an SLA breach if the job finishes after the deadline. This feeds the AMC vendor's score. | None. It is simple arithmetic on recorded times. |
| 8 | Accounts executive | If the asset was under warranty, raises a claim: draft, submitted, acknowledged, approved, settled. | An approval needs an amount; a rejection needs a reason. |
| 9 | Facility head | Reads the average time between failures and the average time to repair for the asset, and how many jobs had no downtime recorded. | Decides repair or replace; retiring an asset is a separate step that needs approval. |
Planned maintenance that raises itself
Two kinds of schedule run side by side. By calendar: every month, quarter or year, with dates that stay put, so a quarterly job set for 31 January falls on 30 April. By meter: every 250 run-hours or 10,000 km or 500 cycles, from the counter you record. Meter readings are cumulative and a lower number is refused, because a counter that goes backwards makes the next service look further away than it is. If the counter was really replaced, you say so and the new reading becomes the starting point.
A forecast shows when each meter-based task will fall due. The planner agent then groups the week's jobs by area into day routes, each no longer than a working day, so a technician crosses the site once.
Documents, lists and reports
| Output | What it contains | Who uses it |
|---|---|---|
| Asset list | Tag, category, location, cost, lifecycle stage, current book value and depreciation history. Components of a lift or chiller can be depreciated separately. | Accountant, facility head |
| Tax against books depreciation | Depreciation as the tax rules count it beside depreciation in your books, with the difference shown. | CA, accountant |
| Work-order history | Every job with cause, parts, labour, downtime and SLA outcome. | Facility head |
| PM compliance and meter forecast | Which scheduled jobs were done, and when meter-based jobs fall due. | Maintenance engineer |
| Reliability view | Average time between failures and to repair, asset by asset, with a count of jobs missing downtime. | Facility head, owner |
| Spares reorder list | Parts at or below minimum, quantity to reach maximum, preferred supplier and lead time. | Store in-charge, purchase |
| Warranty and claims list | What the manufacturer or installer still owes, and each claim's status. | Accounts |
| Calibration due list | Overdue and due-soon instruments, based on the latest certificate for each. | Quality, engineer |
| Statutory inspection calendar | In India: fire NOC, lift inspection, FSSAI licence, pollution consent, building plan compliance, each with authority and renewal date. | Compliance executive |
| Operating logs and fuel records | Generator and meter readings with yield; fuel received, burned and the difference, left deliberately unreconciled. | Facility manager |
| Disposal record | How the asset left, proceeds, removal cost, and gain or loss against book value. | Accountant, CA |
Agents that work here
PM Scheduler
Raises the preventive work orders that fall due, every morning at 6 am in your company's time zone, from calendar or meter schedules, and groups them into day routes.
MaintainAsset Health Predictive
Scores how healthy each asset is from unusual sensor readings and drafts a work order as advice for you to approve. It never controls equipment.
Maintain + BuyAMC Vendor Scorecard
Scores your AMC vendors on completed visits and on keeping to the service promise (SLA), and grades each A to D. Its renew, renegotiate or replace suggestion is a simple rule on the on-time share, which we agree with you.
Comply + MaintainStatutory NOC
Lists NOCs (no-objection certificates) and inspections that are pending, scheduled or expired, with the days left to each due date. A negative figure means overdue.
Others here: a spares reorder agent that drafts purchase requisitions, a Monday warranty recovery review, a calibration watch and an operating-efficiency watch that reads fuel yield. We check each agent with you before it works on your records, and everything it produces waits for your team. Nothing is raised, filed or claimed on its own.
Ask Kinnow about your assets
Ask in plain English. Before it answers, Kinnow shows the records it will read and what that will cost. Where records are missing, it says so instead of guessing.
Which assets have broken down most this year?
Assets ranked by failures, with the average time between failures.
Which NOCs and licences expire in the next 90 days?
Type, authority and days to due.
What did we spend on repairs we could have claimed on warranty?
Jobs on assets still covered at the time. It matches dates, not policy wording.
Which AMC vendors breached SLA most?
Score, completed jobs and breaches per contract.
Which spare parts are below minimum?
Part, quantity on hand, quantity to reorder and supplier.
Is generator 2 burning more diesel than it used to?
Yield, in kWh per litre, over recent readings.
The controls an owner cares about
- Records are kept company by company, so maintenance cost lands on the company that owns the asset.
- Viewing and creating are separate permissions. Someone with view-only access sees everything and changes nothing.
- An asset cannot simply be marked disposed. A disposal goes from draft to approved to completed, and only completing it retires the asset and sends the gain or loss to Account.
- A predicted failure becomes a draft work order waiting in a list. Nothing is raised until you approve it, and rejecting one asks you why.
- The cost per unit on an operating log cannot be typed in, and a reading that does not add up is refused.
- Calibration: if the measured deviation is outside the allowed range, the record is a fail even if someone chose pass.
- Veil, our privacy layer, holds back bank, tax and ID numbers and swaps names for placeholders before an AI call. It covers Ask Kinnow and most agents today; the rest are being added.
Connects to
- Account: disposal gain or loss, revaluation and impairment entries go to the ledger.
- Buy: the spares reorder list drafts purchase requisitions for parts linked to a stock item.
- Stock and ship: parts issued against a work order reduce stock, for parts linked to a stock item.
- Build: a signed project handover adds its assets here, and permits to work are one shared list with Build.
Questions
Does Kinnow control building systems?
No. Maintain reads unusual sensor and building-system readings to predict failures and draft work orders, but never sends anything back to equipment or controls it. Your building system stays with its provider.
Can maintenance run on usage, not just dates?
Yes. Schedules run on calendar or on meter readings: run-hours, kilometres, cycles or kWh. A forecast shows when each meter-based task falls due.
How are predicted failures handled?
An agent scores how many unusual readings an asset is showing and drafts a suggested work order with its evidence. You approve it, and can edit the title, type, priority and due date first. Until then no work order exists.
Can we bring our asset list and our AMC contracts from Excel?
Yes. Data is brought across in the first week of setup, and most clients see first results in about two weeks.
Which statutory inspections does it track in India?
The ready-made India calendar covers fire NOC, lift inspection, FSSAI licence, pollution consent and building plan compliance. You can add others. Each item shows its authority, due date and status.
What happens when the agent is wrong?
It cannot act on its own. A draft work order or a reorder suggestion is shown with its reasons and waits for approval, and we check each agent with you before it works on your records.
