Your sales desk on a Monday, before and after
Most owners run sales on WhatsApp, a Word quotation and an invoice screen in desktop accounting software.
| Job | Today, in a typical Indian SME | On Kinnow |
|---|---|---|
| Quoting | A customer sends a message or a PO. Someone retypes it into a Word quotation and looks up last month's rate. | Paste the message or drop the PO. A draft quotation fills in with the customer and items matched. An item it cannot find is flagged, not guessed. |
| Discounts | The salesman promises a rate on the phone. The owner finds out on the invoice. | Volume, order-value and promo-code rules apply as each line is entered. A rate outside the range you set for the item is stopped for review. |
| Credit | The dispatch clerk ships to a party who has not paid for 90 days. | An order that goes over the credit limit is put on hold, and a named person has to clear it. |
| Approving a big order | The owner is rung on the phone at night. | The order goes to the right person by value, with the reason recorded. |
| Invoice and e-Way bill | Dispatch waits while someone logs in to two portals. | Kinnow asks for the invoice's IRN in the background and makes the e-Way bill from it. |
| Chasing money | Whoever remembers rings the party. Cheques are in a drawer. | Each overdue customer moves up a ladder of reminders. Post-dated cheques are listed by the date they mature. |

Walk through one order, from enquiry to cash
A trading company with sales executives, a sales manager, a dispatch clerk, an accounts executive and a collections executive.
- Enquiry. It arrives by phone, WhatsApp, mail or through a channel partner. The sales executive logs it as a lead or enquiry. The Lead Scorer ranks it, and your follow-up rules put the next call on the executive's list.
- Quotation. The executive pastes the customer's message or drops the PO. The Quote Writer drafts the quotation. Your pricing rules and the branch's price ranges apply, and every revision is kept in order. Quotes close to expiry are listed.
- Proforma, if you take an advance. A proforma can ask for an advance and later convert to the order or invoice.
- Order and approval. The quotation converts to a sales order. By default an order under ₹50,000 approves itself, up to ₹5,00,000 goes to a sub-manager, up to ₹20,00,000 to a manager and above that to the MD or an administrator. The credit check runs at the same time.
- Credit hold. An order that breaches the customer's limit is held. An authorised person clears it with a note. The hold shows against the customer wherever they appear.
- Delivery order. The dispatch clerk creates a delivery order, which can be partial. Items short in stock are planned as back-orders for later delivery.
- Invoice. The accounts executive raises and approves the tax invoice. On approval the receivable posts to Account. Kinnow requests the IRN and makes the e-Way bill from the invoice, through Comply.
- Dispatch. With the invoice in hand the clerk dispatches, with LR number and vehicle. Courier dispatch, delivery and return are tracked.
- Send and collect. The invoice goes by email with a payment link and UPI QR. A payment is matched to the invoice and allocated oldest first. Cheques are tracked until they clear or bounce.
- Chase and correct. Overdue customers move up the ladder of reminders, and interest for late payment can be worked out. A return or a mistake is corrected with a credit note, never by cancelling a paid invoice.
Ask us to run one of your recent orders through this, from enquiry to receipt.

Agents that work in Sell
Each agent does a piece of the sales desk's work and hands it back for approval. Each is checked with you before it works on your customers, and nothing goes to a customer without a person.
Quote Writer
Drafts a quotation or sales order from an enquiry written in everyday words, or from a customer's purchase order (PO) document.
Sell (CRM)Lead Scorer
Scores each lead from 0 to 100 when it is created or imported, with the reasons and a suggested next step. A person decides who to call.
Sell (CRM)Follow-up Scheduler
Suggests a next step and a due date for each lead when it is created or imported, shown on the lead and in the Leads list.
Sell + AccountCollections

Also here: a back-order planner, a credit-risk check, a returns approver, a watch for customers about to leave, quotation follow-up and a handler for incoming leads.

Controls an owner cares about
- Approval by value. You set who approves orders at each value. The India set-up also sends an invoice above ₹5,00,000 to a named person for e-invoice sign-off.
- Credit holds. A held order is cleared only by a manager, with a clearance note on record.
- Price ranges. A minimum and maximum rate per item and branch. A line outside the range is stopped and logged.
- No quiet cancellations. An invoice with a payment against it cannot be cancelled. The fix is a credit note.
- Customers only see their own. The portal shows a customer its own invoices, amounts due, orders and disputes. A partner sees only its own leads and deals.
- Veil. Tax and bank numbers are held back, and names are swapped for placeholders, before an AI call. It covers Ask Kinnow and most agents today.
Connects to
- Account: approved invoices, credit notes and receipts post to the ledger; the list of overdue amounts by age feeds collections.
- Comply: the IRN, the e-Way bill and GSTR-1 come from these invoices.
- Stock and ship: dispatch updates stock, and low-stock alerts reach Sell.
- Reach: campaigns draw on what customers have bought.
- Serve: tickets and service contracts show on the customer's page.
- The customer portal and partner portal are where customers and channel partners use this application.
Questions
Does Kinnow generate e-invoices and e-Way bills?
For India, yes. Kinnow requests the IRN for the invoice in the background, and its status shows on the invoice. The e-Way bill is made from the invoice. By default Kinnow expects the invoice to be raised before the goods move, and refuses to dispatch a delivery order that has no invoice. A company that works the other way round can change that setting.
Can it stop an order for a customer who is over the credit limit?
Yes. An order that takes a customer over the limit is put on credit hold. It is cleared by an authorised person with a note. Orders also go to different approvers by value. The defaults are: below ₹50,000 approves itself, ₹50,000 to ₹5,00,000 goes to a sub-manager, ₹5,00,000 to ₹20,00,000 to a manager and above that to the MD or an administrator. You can change these limits.
Do agents contact customers on their own?
No. Agents draft the quote, the reminder or the follow-up, and a person approves it before it goes. Collections reminders wait for a person to approve them. At the legal-notice stage the draft also suggests a credit hold, for the owner to decide.
Can I bring my customers, open invoices and price lists across?
Customers and items come from the shared records. Open invoices, credit notes, debit notes and returns can be imported, and opening balances load in Account. Running Kinnow side by side with your old software, with live reading from it, is not part of this release, so plan to switch over at a month-end. First results take about two weeks.
How do customers pay?
Each invoice can carry a payment link and a UPI QR. The link is made through the payment provider you connect, Razorpay or Stripe. Recurring customers can be put on UPI AutoPay or an e-mandate. A payment received is matched to the invoice and allocated oldest first in Account.
What happens if the quote or order draft is wrong?
The draft shows where each value came from. An item it cannot match is flagged, not guessed, and nothing is saved until a person presses save. Prices outside the minimum and maximum you set for an item in a branch are stopped for review.
Can I cancel an invoice after the customer has paid?
No. An invoice with money against it cannot be cancelled. You correct it with a credit note for the amount, so the ledger and the customer's statement both stay true.
