Short answer

What does Data-quality replace? The work of a data-entry operator: clean and complete master data. Counts the gaps in your customer, supplier and item records, such as missing tax IDs, mobile numbers and HSN codes, and proposes changes for a person to accept.

Shows why

It shows its reasons and how sure it is on every draft. When it is not sure, it only brings the item to your attention.

Waits for you

Nothing is filed, paid or posted until a person approves it.

Gets reviewed

Every approval and correction is recorded, so you can see how it performs on your own books.

A day with Data-quality

Take a distributor with about 2,400 customers and suppliers who has just moved over from desktop accounting software, and a data-entry operator who is asked to get the records ready for GST invoicing.

  1. Every night Kinnow counts the gaps. It counts customers and suppliers with no tax ID, parties with no mobile number, and items with no HSN code. A migrated company sees its real numbers on the first day.
  2. The finance head reads the numbers before go-live. A missing tax ID blocks a compliant invoice, a missing mobile number blocks payment reminders, and a missing HSN code blocks GST filing and e-invoicing.
  3. Kinnow prepares suggested improvements. For a party it can propose a business category, an estimated revenue band, likely item interests, tags, a check on the tax ID and a tidied city and state.
  4. The operator reviews them. In Masters, on the Data quality screen, the "Suggested improvements" tab lists each suggested change. The operator chooses Accept, and the party is updated, or Reject, and the party stays as it is.
  5. Suppliers get a details check. For a new supplier, Kinnow can check the layout of the GSTIN and PAN, whether the PAN agrees with the GSTIN, the bank account and IFSC layout, MSME evidence and a duplicate tax number, and lists what is missing.

What it reads and what it hands back

Everything is read from your own customer, supplier and item records.

What a person decides

  • Accept or reject. The screen says it plainly: nothing changes until you decide. Accepting updates the party with the fields shown, and rejecting closes the suggestion.
  • Who fixes what. Filling a missing tax ID or HSN code is a normal edit by a person with access to the record.
  • What it never does. It does not edit a master record on its own, approve a vendor, or look a number up on a government register. Nothing is filed, paid or posted without a person.

Ask Kinnow about your master data

Ask Kinnow answers only from records you may see. Questions a finance head might type:

  • "How many customers have no GSTIN?" Gives a count, with the list behind it.
  • "Which items have no HSN code?" Lists the items, so they can be fixed before the next return.
  • "Which suppliers have no mobile number?" Lists them, since payment reminders need one.
  • "Which new vendors are missing bank details?" Lists the vendors and what is missing.

Ask us to show the same sweep on a copy of your master data.

Works with

Data-quality belongs to Masters and works with Duplicate Detector, which points out records that look like the same party. The capability Clean customer and supplier records, never auto-merged covers both for buyers.

Questions

What does the Data-quality agent do?

Counts the gaps in your customer, supplier and item records, such as missing tax IDs, mobile numbers and HSN codes, and proposes changes for a person to accept.

Does Data-quality fix records on its own?

No. It flags what is missing. A person approves it before anything is posted, filed, sent or paid.

Does Data-quality get better with use?

The counts come from fixed checks, so they do not change with use. Your accept and reject decisions on suggestions are recorded against each suggestion.

How is it paid for?

It is part of your agent pack. There are no per-user seats.

Why does a missing HSN code matter?

Without an HSN code on an item, GST filing and e-invoicing cannot be completed for the invoices that use it. That is why the nightly sweep counts them.

Does it check that a GSTIN is real on the government portal?

No. It checks the layout and check character of the number you recorded. A lookup against the government register is not part of the check, and the result says so.
