ERP for CA Practice. Every client's books, filings and deadlines on one review queue.
A practice sells deadlines. Kinnow keeps your firm's own books and one register of every client job, and has the GST and TDS work drafted and waiting for a partner before anything is filed.
Industry pack readyHow does Kinnow help a CA practice? It handles two things side by side: your firm's own books (fees, payroll, expenses) and one register of every client job, with two dates on each: your internal preparation date and the statutory filing date. Kinnow drafts the GST and TDS work for a partner to review, and your team uploads it to the portal. Nothing is filed, paid or posted without a person.
Your practice, in one paragraph.
Money comes in as fees: a monthly retainer for GST and TDS, a fee per audit or return, and the odd advisory job. It is billed late because a partner has to be sure the work is finished. Time goes into chasing clients for records and matching GSTR-2B line by line. Compliance is not a side job here; it is what you sell, with a statutory due date on every item, and fifty clients' dates land on the same 7th, 11th and 20th.
Three things keep the partner awake. A client has not sent records and the date is close. A return was filed over input tax credit nobody checked. A notice arrived and its reply date lives only in someone's mailbox.
Two ways a client sits in Kinnow
Both can run in the same practice, client by client.
A client in your own books
Most clients start here. You bill them, and each job for them (a return, an audit, an advisory piece) is a line in your job register. The client does not need to use Kinnow at all.
Their own Kinnow company
A client who keeps their books on Kinnow can give you limited access. You see a list of those clients and can open any of them, but you can only look, by default. Their administrator can switch on preparer mode for you, and everything you do in it is recorded in their audit trail.

How your month runs on Kinnow
Shown for a practice that handles GST, TDS and the books for its clients.
| Step | Who | What Kinnow does | Where a person approves |
|---|---|---|---|
| 1. Open the month's jobs | Practice manager | A recurring schedule opens one job for each client, return and period (GSTR-1, GSTR-3B, TDS, or any name you give, such as ITR-6). You set the preparation date and the filing date. A person starts it. | The manager sets the dates; nothing is dated for you. |
| 2. Chase records | Associate | The document chaser lists the clients whose records are still missing for open jobs, at 45, 21, 7 and 3 days before the date, and drafts one reminder per client. It sends nothing; you copy and send. A job waiting on records sits in Awaiting client, so the delay is not counted against your team. | The associate sends. |
| 3. Book the month | Accountant | Bills and bank lines go in. Bank Reconciler pre-matches the lines and shows why it matched each one; the AI Invoice Extractor reads bill PDFs into fields. | A manual journal over ₹5,00,000 waits for a second person. |
| 4. Reconcile input credit | Accountant | The GSTR-2B reconciler compares purchase bills with the portal download, saves every run, and sorts each line into matched, partial, missing in 2B, missing in books, rejected, pending or late-uploaded. Supplier mismatches go on the chase list. | A person clears the mismatches. |
| 5. Prepare the return | Executive | The return is drafted from the period's invoices and purchase bills and exported as a file for the portal. | Drafts only. |
| 6. Send for review | Executive | The job moves to Awaiting review. Whoever sent it cannot be the one who files it. | A send-back needs a written reason. |
| 7. Partner review | Partner | The partner sees the draft, the 2B run and the net payable. A return with net payable over ₹10,00,000 needs partner sign-off. An audit or certificate job cannot be filed until a UDIN is recorded. | Partner approves, with the reason on record. |
| 8. Upload and mark filed | Executive | Your team uploads the prepared file to the GST portal and marks the job filed. Kinnow stamps the filed date itself; nobody types it. GSTR-1 and GSTR-3B are refused as filed until a complete 2B reconciliation exists for that period. | Filing is a person's act. |
| 9. Bill the client | Partner, accountant | The fee goes on the job. A write-down beyond your limit (10% of the fee is the starting figure; you set it) goes to a second person with a reason. The invoice is raised through Sales. | An invoice over ₹10,00,000 needs approval. |
| 10. Close your own month | Accounts head | Twelve month-end checks run and seven must pass. A client period cannot be closed while GSTR-1 is not prepared, GSTR-3B is not self-assessed or a 26Q is unmatched. | The close is confirmed by a person. |

The filing calendar, monthly to annual
Alerts go out 15, 7 and 1 day before each filing. Statutory dates move by notification, so the partner checks the notified date; the calendar is a working aid.
| Obligation | When it falls | What Kinnow prepares |
|---|---|---|
| GSTR-1 | 11th of the next month; 13th for quarterly filers | Built from your sales book as a file, with the B2B register, HSN summary and credit note register to check it against |
| GSTR-2B reconciliation | Before GSTR-3B | Bills matched against the portal download; each run saved, mismatches sent to supplier chase |
| GSTR-3B | 20th of the next month | Draft return and a file to upload on the portal |
| TDS deposit | 7th of the next month; 30 April for March | Challan drafts by month and section, from the deductions you provide |
| TDS returns, 24Q and 26Q | 31 July, 31 October, 31 January, 31 May | Quarterly return drafts by form from the same deductions; missing PAN and missing deposit reference are flagged |
| TCS credit against Form 26AS | As you reconcile | Matches booked TCS with 26AS by collector TAN: matched, short, excess or missing on either side |
| GSTR-9 and GSTR-9C | Annual | Takes the figures your accountant keys in; it will not run GSTR-9 below ₹2 crore or GSTR-9C below ₹5 crore of turnover |
| Income tax, ROC, audit and other annual work | Dates you set | Tracked as jobs in the register with both dates. Kinnow does not prepare these returns |
| Notices | The reply date printed on the notice | A notice register with the reply date you type in; shows overdue, due soon, no deadline or no evidence |
What the partner sees, and what the client sees
The register separates three kinds of late: waiting on the client, waiting on your team, and past the statutory date. Prepared and filed times are stamped by Kinnow, never typed, so a turnaround figure can be quoted.
The partner
Which clients have given you access, each marked read-only or preparer mode. Every client's jobs in one register: status, who has it, both dates, whether it is late and whose clock it is on. Jobs waiting for review, and the deadline load by person and by client. You can put questions to Ask Kinnow across all of it.
The client
A portal in your firm's branding. The client signs in with a code sent to their email and sees the invoices you raised, with PDFs, what is outstanding and where to pay. They can raise a dispute on an invoice. Engagement letters and certificates go out through Kinnow Sign, our e-signature. Working papers are shared as Documents (Vault) links: each names who may open it, counts every open and can be withdrawn.

What the CA Practice setup gives you
The ready-made setup for your industry (we call it an industry pack) comes with nine reports and thirteen ready-made Ask Kinnow questions: GST sales and purchase registers, HSN summary, B2B sales, credit notes, trial balance, profit and loss, the engagement register and engagements by status.
| Limit or rule | Starting figure | What happens |
|---|---|---|
| Return sign-off | Net payable over ₹10,00,000 | Partner approval, never the preparer |
| Close without GSTR-1 prepared | Always | Blocked |
| Close without GSTR-3B self-assessed | Always | Blocked |
| Close with an unmatched 26Q | Always | Blocked |
| Manual journal | Over ₹5,00,000 | Approval |
| Engagement letter (sales order) | Over ₹5,00,000 | Approval, since a big client in November decides what the team can take on |
| Invoice | Over ₹10,00,000 | Approval |
| Client credit limit | Over ₹10,00,000 | Warning only |
These are starting figures. Set them to whatever a reviewer in your firm would want to see.
Seventeen processes come switched on, each with an owner and a printable SOP, plus who signs off, in order, for four things: returns, journals, invoices and engagement letters. Kinnow uses your own words from day one: client, engagement, preparer mode, ITC.
Agents for a CA practice
Filing Prep
Builds the GSTR-1 file from your books and lists every document it left out, with the reason, for a person to clear before filing.
ComplyMismatch Detector
Finds mismatches between your returns and your ledger, and in GSTR-2B, and flags them for a person before a return is filed.
ITC mismatch chaser
Puts supplier mismatches from the 2B reconciliation on the chase list and checks again on the next download.
GST filing agent
Reconciles against 2B, puts the return up for approval and produces the file. Your team uploads it; it does not file on the portal.
Client document chaser
Lists clients whose records are outstanding before a filing date and drafts one reminder each. Sends nothing.
Notice reply clock
Tracks the reply date typed from each notice and shows what is overdue or has no deadline.
Close Checklist
Runs the twelve period-close checks, helps clear the ones holding up the close and drafts the commentary on variances. A person confirms the close.
AccountBank Reconciler
Matches bank lines to receipts ahead of time and shows why it matched each one. Lines it is unsure about come up as suggestions only and are never committed on their own.
Every agent is validated with each client before it works on their books, and every output waits for a person.
Ask Kinnow, for a practice
| Ask | The answer is built from |
|---|---|
| Which client filings are due this week? | Your job register and the filing calendar |
| Which client jobs are late? | The engagement register, with whose clock it is on |
| How much of our work is waiting on clients? | Engagements by status |
| Which clients have unreconciled ITC? | The saved GSTR-2B runs |
| What is my TDS register this quarter? | The TDS register |
Each answer names its source and tells you what it will cost before it runs. Veil, our privacy layer, holds back bank, tax and ID numbers and swaps names for placeholders before an AI call. It covers Ask Kinnow and most agents today; the rest are being added.

Questions
Can I see all my clients in one place?
Yes, in two views. The job register lists every client job with its status, owner, dates and whether it is late. The client list shows the clients who have given you access to their own Kinnow company, each marked read-only or preparer mode.
Does Kinnow file GST returns automatically?
No. It reconciles, drafts and exports a file; your team uploads it and marks the job filed, after a second person has reviewed it. A live connection through a GST provider is in pilot and not switched on.
Can my clients stay on their current accounting software?
Yes, while you move. Their data comes across with a trial balance that must tie before we accept it, and clients can move one application at a time. Clients who are only in your books need nothing from their side.
How long does set-up take?
About two weeks to first results for one practice: masters and opening balances in the first week, agents switched on and a first close in the second.
Who can change a client's books?
Nobody by default. Access is read-only until the client's administrator switches on preparer mode for a named person, and each action taken in it is logged on the client's side.
What happens when an agent gets it wrong?
Each agent hands back a draft that shows its reasons, and a person approves before anything is filed, paid or posted. Agents are validated with each client first, and you can send any job back with a reason.
Do you cover the Income Tax Act work?
Not as prepared returns today. You can track ITR, audit and ROC jobs in the same register with your own preparation and filing dates, and bill them the same way as your other fees.
