ERP for capital goods. Sell the machine, then earn on the AMC for a decade.
Sell the machine, then earn on the AMC (annual maintenance contract) for a decade, with every serial, warranty and renewal on one record. The UAE and Saudi Arabia edition opens from December 2026.
From December 2026How does Kinnow help a capital-goods company in the UAE or Saudi Arabia? The machine you ship becomes a record you service for years: its serial, its warranty, its AMC and its tickets sit together, so every call knows what the customer is entitled to and every renewal is chased before it lapses. Nothing is filed, paid or posted without a person.
Your business in one paragraph
You sell a machine once, whether from a Dubai showroom or a Riyadh yard, and service it for a decade. The sale is a long quote, a large invoice and a delivery to site; the margin is in what follows: the AMC, the spares, the callouts. The risk is that the installed base lives in a spreadsheet, the warranty with the OEM (the machine's original manufacturer) lives in a file, and the engineer leaves without the part. Three things keep the owner awake.
Renewals missed in silence
An AMC that lapses is a customer who stopped being a customer without anyone deciding it.
Warranty cost absorbed
A breakdown fixed at your cost on a machine the OEM still covers is a claim nobody filed.
Repeat visits
An engineer sent without the right part, or to a customer who is out of cover, is a callout that earns nothing.
Bring your installed-base spreadsheet and see which renewals are due in the next 90 days.
How your month runs on Kinnow
This is the enquiry-to-AMC loop, then the service loop that earns on it.
| # | Step | Who | Application | Where a person signs |
|---|---|---|---|---|
| 1 | Enquiry enters the pipeline; a configured quotation is drafted | Sales engineer | Sell | Quotation approved before it goes out |
| 2 | Order won; credit check can hold it; large orders go for approval | Sales head, credit controller | Sell | Order above AED 2,500,000 needs approval; credit above AED 5,000,000 too |
| 3 | Long-lead parts and the machine bought against the build plan | Procurement officer | Buy | Purchase order above AED 2,000,000 needs approval |
| 4 | Landed cost of imported items is added to stock value; the import is self-accounted under reverse charge (you account for the VAT yourself) on the VAT return | Accounts executive | Buy, Account | Journal above AED 1,000,000 needs approval |
| 5 | Machine dispatched; each serial registers in the installed base for the customer | Dispatch clerk | Stock & Ship, Serve | Warranty end date entered by a person |
| 6 | AMC created and tracked: draft, active, expiring, renewed or expired | Service manager | Serve, Pact | Contract terms confirmed by a person |
| 7 | A ticket opens with a service-promise (SLA) plan; Kinnow works out what the customer is covered for: warranty, AMC, chargeable or unknown | Service desk | Serve | A ticket cannot be raised without an SLA plan |
| 8 | Engineer and parts suggested; visit scheduled, en route, on site, completed | Service coordinator, engineer | Serve, Field | Coordinator accepts the suggestion |
| 9 | Visit completes with parts, labour and a billable flag; spares come off stock; a billable job posts to receivables | Engineer, accounts | Serve, Account | Billing reviewed by accounts |
| 10 | Renewal conversation opens at 60, 30 and 7 days before the AMC ends; warranty claims and calibration due dates are chased | Sales manager, service manager | Serve, Maintain | Renewal terms signed by a person |
The ready-made setup for your industry
The ready-made setup for capital goods (we call it an industry pack) defines 6 limits, 4 sign-off routes (who approves, in what order), 9 report codes, 11 starter questions for Ask Kinnow, 10 agents and 20 step-by-step routines. For the UAE, a country setup adds 7 limits, 6 sign-off routes, 3 VAT report codes and 13 starter questions of its own. The figures are starting values that you set, held in your own currency.
| Limit | Effect | Why it is there |
|---|---|---|
| Customer credit limit above AED 5,000,000 | Needs approval | One order is one large invoice, not a stream of small ones |
| Sales order above AED 2,500,000 | Needs approval | One unit can be a quarter's revenue, with a commissioning and warranty commitment |
| Purchase order above AED 2,000,000 | Needs approval | Stock is a machine, not a reorderable consumable; a supplier outside the UAE is self-accounted under reverse charge |
| Journal above AED 1,000,000 | Needs approval | Import landed cost lands as a journal, not an invoice |
| Service ticket with no SLA plan | Blocked | No plan means no clock, so it can never breach |
| Non-billable service work order | Warning | Service effort never billed erodes margin without showing as a loss |
Routines include Enquiry to AMC, Buying long-lead parts, Site visit to sign-off, Customer return to credit, Stock transfer between warehouses and Invoice correction by credit note, beside month-end close and payroll.
Processes, built in
The 20 best-practice processes for your industry come switched on: who owns each step, which steps Kinnow enforces, and a clock on every hand-off between departments. Print any of them as an SOP.

Agents for Capital Goods
AMC Renewal
Prepares a renewal suggestion for each of your AMC (annual maintenance contract) customers, using the same renewal routine as lease renewals.
Contract Renewal Watch
Warns at 60, 30 and 7 days before an AMC ends and stamps each band so the reminder does not repeat every morning.
Warranty recovery
Lists breakdowns fixed at your cost on assets an OEM still covers. It reports candidates and drafts nothing; a person reads the terms.
Job Dispatcher
Suggests the best engineer for a ticket from skills, zone and current load.
Technician Scheduler
Proposes a balanced assignment of unassigned visits across available engineers.
Parts Recommender
Suggests likely spares for a visit from its job type and the machine being serviced.
SLA Alert
Flags tickets at risk of breaching their response or resolution time.
Quote Writer
Drafts a quotation or sales order from an enquiry written in everyday words, or from a customer's purchase order (PO) document.
Each agent is validated with each client before it works on their books, and every output waits for a person. Also available: a calibration watch in Maintain, which separates instruments overdue from those due soon and counts only the latest certificate.
Tax and compliance calendar for a capital-goods company (UAE and Saudi Arabia)
Kinnow prepares; a person confirms and files. Dates are not printed here because the authority sets them; Comply carries your calendar. This is what the first release covers, and it is not live today.
| Obligation | What Kinnow prepares | Who confirms |
|---|---|---|
| UAE VAT return (VAT-201), quarterly | The groundwork for a return document built from your sales and purchase records, with output tax by emirate, reverse-charge boxes and imports, completed before launch. You download it and submit it on the tax authority portal; Kinnow does not file | Finance head |
| Tax invoice with your TRN (tax registration number) | An English or Arabic tax invoice, checked for the mandatory fields before it is rendered | Accounts executive |
| Import documentation cost | Landed-cost vouchers add freight, duty and clearing to the stock value. Customs entries are not handled in Kinnow | Accounts executive |
| Calibration certificates for instruments in your asset register | Due queue from the latest certificate per asset; a deviation outside tolerance is stored as failed | Service manager |
| WPS salary file (the wage-protection file) and end-of-service gratuity | The Salary Information File from the approved pay run, to be confirmed with your bank before first use; a monthly accrual of the gratuity (the payout owed on leaving) for non-national staff, and pension contributions for UAE and GCC nationals | HR head |
| Corporate tax | A computation of tax due from the taxable income you supply, with the 0 per cent band, small business relief and the split for qualifying free-zone companies. The return itself is not built | Finance head, tax adviser |
| Saudi VAT | VAT at 15 per cent on invoices and a return builder whose row mapping is still to be checked. Saudi e-invoicing, payroll and social insurance are not in the first release | Finance head |

Questions
Does an equipment sale create the AMC automatically?
Not on its own. When a serialised machine is dispatched, each serial is registered in the installed base against the customer. The warranty end date is left for you to enter, because the dispatch does not carry the commercial term, and the AMC is created by a person from the contract. Once an AMC is active, renewals are watched from the end date.
What does the installed base do for a service call?
Every ticket resolves what the customer is entitled to: under warranty, under AMC, chargeable, or unknown. Unknown is never billed. If a machine has no warranty date and no contract, the answer asks for the date instead of issuing a verdict.
Can Kinnow recover warranty costs from OEMs?
It finds the candidates and tracks claims. A warranty register holds each OEM warranty, a claims lifecycle follows a claim to settlement, and the Warranty recovery agent lists breakdowns fixed at your cost on assets a manufacturer still covers. It matches on dates; a person reads the warranty terms before a claim goes out.
Do engineers get a mobile app?
Dispatch, scheduling and visit capture work in the phone browser. There is no native app and no offline mode.
Can we bill service work?
A billable service work order posts a service-revenue receivable to the ledger when it is completed. Service effort recorded as non-billable raises a warning, so unbilled work does not quietly eat margin.
Who approves a large order?
The capital goods setup asks for approval on a sales order above AED 2,500,000, a customer credit limit above AED 5,000,000 and a purchase order above AED 2,000,000. These are starting values you change.
How does a machine imported from abroad appear on the VAT return?
A purchase from a supplier outside the UAE is self-accounted under reverse charge, so the tax owed and the tax recovered appear on the same return. Landed-cost vouchers add freight, duty and clearing to the stock value. Customs entries are not handled in Kinnow.
How long to set up?
About two weeks to first results for one company, once the edition opens in December 2026. Your installed base is imported in the first week so renewals are watched from day one.
