ERP for mobility & fleet. Trips, drivers and vehicles cleared, tracked and billed.
For fleets and transport companies in the UAE and Saudi Arabia: every duty, driver and vehicle on one record, so a lapsed licence never reaches the rota and a finished trip turns into an invoice. This edition arrives from December 2026.
From December 2026What does a UAE or Saudi fleet get from Kinnow? One record for every duty, from booking to invoice. A driver whose licence has lapsed cannot be given a duty. A vehicle with no tracking device is shown as having none. Servicing falls due on kilometres and engine hours as well as dates, and each invoice shows its working and the right VAT for the country. We are preparing this edition for December 2026; nothing here is live today. Nothing is filed, paid or posted without a person.
Your business in one paragraph
For staff transport, airport and hotel transfers, school buses, haulage or a rental fleet, the margin is made or lost trip by trip. Work arrives from corporate contracts, hotel and facilities desks, brokers and a dispatcher's phone. Each booking needs a driver with a valid licence, a vehicle with valid registration and insurance, and a rate agreed before the wheels turn. Four leaks keep coming back. A trip runs on a verbal rate. A delivery note or signed proof reaches the office a week late. A vehicle sits in the workshop while the finance instalments carry on. A driver or vehicle document lapses between two reminders.
Send us a week of duties and the driver list. We will show you the clearance board and the path from trip to invoice, using your own records.
How your month runs on Kinnow
Ten steps, from the first call to a signed-off month.
- Terms come first. Your commercial manager records the enquiry and the contract rate in Sell, in AED for a UAE company or SAR for a Saudi one.
- The booking goes in. A dispatcher types in a duty or loads the day's list from a spreadsheet. A duty for more than twelve passengers is refused at that point, not discovered at the kerb.
- A driver and a vehicle are matched. The roster agent drafts the rota and shows how well it covers each shift and how evenly the work is shared. Smart Dispatch then picks a driver by licence status, skill, the service level promised and distance, weighing what each option earns. If the chosen driver does not turn up, the duty is offered to someone else.
- Paperwork is checked before the wheels turn. Stock & Ship checks the vehicle's registration, fitness, permit and insurance dates. Reminders start a month ahead.
- The duty is tracked. Its status moves from planned to in progress to completed. Wrong turns, speeding and unplanned stops are flagged. For hired-in carriers, the consignment note must be on the record.
- Proof is collected. The driver or the receiver confirms on a web screen, and the signed image must be attached before the delivery can be marked done. Trips with proof go straight onto the billing list.
- The invoice goes out. Your accounts executive raises it from the contract rate, with the working shown line by line. UAE invoices carry 5% VAT and Saudi invoices 15%, with exports zero-rated. A trip invoice above the limit you set waits for a named person to approve it. E-invoicing is not in the first release.
- The driver is settled. Kinnow works out allowance and expenses less any advance, and turns down a second advance or fuel counted twice. It pays and posts nothing. For UAE staff, payroll produces the WPS file (the wage-protection salary file your bank takes), and a payroll total over your limit needs sign-off.
- The workshop gets its turn. Maintain raises service jobs on kilometres or engine hours, whichever comes first. Repairs with parts over your limit need approval, and days off the road are the figure to watch.
- The month is closed. Your finance head goes through twelve month-end checks, seven of which must pass, and signs. The groundwork to prepare the UAE VAT-201 (the quarterly VAT return) as a file is completed before launch, and a person uploads it.
What the mobility setup gives you
This is the ready-made setup for your industry (we call it an industry pack). The limits are starting figures; in the first week we replace them with amounts in your own currency.
| Part | What is in it |
|---|---|
| Limits (7) | A duty for more than twelve passengers is blocked outright. Spare-parts spend, payroll totals, manual journal entries and trip invoices over a limit each need approval. |
| Who signs off (4) | Repairs, payroll, journals and invoices. Each has one named signer, and the reason is kept beside the signature. |
| Ready-made routines (19) | Booking to bill, off the road and back, breakdown and recovery, load to delivered, enquiry to contract, new driver to first duty, month-end close, and more. |
| Reports (9) | Booking register, allocations, unserved demand, safety events, demand by status, workshop orders, annual maintenance contracts due to end, receivables by age, and vehicle signal. |
| Ask starters (14) | Unassigned work tomorrow, licences about to lapse, vehicles that have gone quiet, among others. |
| Your words | Duty or trip, consignment note, driver clearance, registration, fitness card, permit and proof of delivery. |
Agents for mobility and fleet
No agent works on your books until we have checked it with you, and each one hands its output to a person for approval. AMC Renewal also comes with the industry setup and covers annual service contracts for equipment and vehicles.
Smart Dispatch
Chooses the driver for a duty using licence status, skills, the service level promised and distance, and offers the duty to someone else if the driver fails to appear. An expired credential stops the allocation.
CredentialGuard
Gives each driver credential a risk score, reminds you at 30, 15 and 7 days and stops duties being given on the day it expires.
Roster Optimizer
Drafts the shift or duty rota and reports how well it covers the day and how fairly the hours are spread.
Safety Monitor
Records a safety event, sends SMS for critical ones and email to the people you name, opens an incident in Serve and escalates if no one responds.
Fleet Signal Coverage
When a whole fleet goes quiet, it says so and points to the tracking connection to check, instead of showing every vehicle as parked.
Vehicle compliance alert
Sends a daily list of registration, insurance, fitness and permit dates coming due, at 30, 15 and 7 days.
PM Scheduler
Raises the preventive work orders that fall due, every morning at 6 am in your company's time zone, from calendar or meter schedules, and groups them into day routes.
MaintainAsset Health Predictive
Scores how healthy each asset is from unusual sensor readings and drafts a work order as advice for you to approve. It never controls equipment.
Ask us to check your driver and vehicle documents.
Tax and paperwork dates
Kinnow prepares and a person confirms. Each authority sets its own due dates, so none is printed on this page.
| What is due | What Kinnow prepares | What stays with you |
|---|---|---|
| Driver licences and permits | A risk score per credential, reminders at 30, 15 and 7 days, and no new duties once it expires. | Renewing with the licensing authority. |
| Vehicle registration, insurance, fitness | A daily list of dates coming due, with the same three reminders. | Renewal and the fee. |
| UAE VAT (VAT-201, quarterly) | The groundwork to build the return from sales invoices and purchase bills, split by emirate, as a file for the Federal Tax Authority (FTA) portal, completed before launch. | Someone uploads it. Kinnow does not file. |
| Saudi VAT | The groundwork for a draft return from your books for review, completed before launch. We check with you how each row is filled before first use. | Someone files it. |
| Drivers' salaries | For UAE staff, the WPS file for the bank and a monthly provision for end-of-service gratuity (the lump sum owed to staff who leave). Saudi payroll is outside the first release. | Approving the run and sending the file through your bank. |
| Month-end close | Twelve checks; seven must pass. | The finance head signs. |
What you can ask
Each answer names its source and shows what it will cost before it runs. Veil, our privacy layer, the privacy layer, keeps bank, tax and identity numbers away from the AI and swaps names for placeholders. It covers Ask Kinnow and most agents today.
| You type | You get |
|---|---|
| Which duties for tomorrow have no driver yet? | Open bookings with no driver or vehicle yet. |
| Whose licence or permit is about to lapse? | Driver, document and days remaining. |
| What did we fail to serve yesterday? | Refused or missed bookings, with the reason noted at the time. |
| Which vehicles have gone quiet? | Vehicles with an old or missing signal, listed apart from those with no device. |
| What does a trip cost us this month? | Spend divided by trips, from your ledger, with the source shown. |
| What is due at the workshop next week? | Services due by kilometres, engine hours or date, forecast at each vehicle's own pace. |
The numbers to watch
- Cost per trip, read from the ledger.
- Unserved demand, and bookings stuck at one status.
- Licences and permits due within 30 days, grouped by driver.
- Days off the road, and service jobs due or late.
- Safety events raised, against those acknowledged.
- Receivables by age for each client, and delivered trips still to be invoiced.
Controls that matter to you as owner
- No valid licence, no duty. The stop happens when the duty is given, not in a report read later.
- Large spend needs a name. Repairs, payroll, journal entries and big invoices wait for a signer.
- Silence is not parking. A vehicle with no device is listed as having none.
- No second advance. Settlement turns down a repeat advance for the same trip.
- An alarm always reaches someone. If nobody is named for safety alerts, the alert goes to the admin contact and the register records that it did.

Questions
Can Kinnow stop a driver with an expired licence from being given a duty?
Yes. It is a hard stop. Every licence and permit gets a risk score, reminders go out 30, 15 and 7 days ahead, and from the day it expires the driver cannot be given a duty. Reading a licence from a scan is a pilot, switched on only where you ask for it. You can always type the details in.
Will it work with the tracking devices already fitted to our vehicles?
Yes. We connect to tracking providers one by one. A vehicle is shown as LIVE, STALE or NO_SIGNAL, and one with no device is labelled that way, never as parked. Tracking is partial: position updates, the latest location, route deviation, over-speed and stoppage alerts work, but there is no live streaming feed yet.
Does it grade driving behaviour or read fuel cards?
No. Driver-behaviour scoring and fuel-card links stay with telematics partners.
Can it plan routes around delivery time windows?
Not yet. It orders the stops for one vehicle by distance. Time windows and seat capacity are not covered, so on a busy day you split the work by zone and vehicle first.
How is a trip priced, and what VAT applies?
You choose how each contract is charged: per km, per hour, per visit, per shift, per drop, a slab, or labour and parts. The invoice shows the arithmetic, and one above your limit waits for someone to approve it. VAT is 5% for a UAE company and 15% for a Saudi one, with exports zero-rated. Kinnow prepares the returns for a person to file, and e-invoicing is outside the first release.
Is there an app for drivers?
There is no separate app. Duty details, navigation links and proof of delivery work in the phone browser while the driver has a connection. There is no offline mode.
How soon can we start?
Expect about two weeks to first results for one company. Vehicles, drivers, contracts and opening balances come in during week one, and we run alongside your present records until the month-end figures agree.
