Accounts payable automation
What is accounts payable automation? Software and AI agents that handle supplier invoices for you. They match each bill to its purchase order and goods receipt, so your team only steps in when something does not agree.
In plain words
Accounts payable is the money you owe your suppliers. Automating it does not mean paying without looking. The typing, the matching and the first check are done for you, so your accounts team spends its time on the bills that do not agree.
A worked example
You order 500 brake pads at ₹180 each. Your store receives 480. The supplier's bill still says 500.
| Purchase order | Goods received | Supplier's bill | |
|---|---|---|---|
| Quantity | 500 | 480 | 500 |
| Rate | ₹180 | ₹180 | ₹180 |
| Amount | ₹90,000 | ₹86,400 | ₹90,000 |
The bill is ₹3,600 more than the goods you received (20 pads). A three-way match holds the bill until the supplier sends a credit note or the missing pads arrive. Without the check, the bill gets paid in full.
Why it matters
- Cost. You stop paying for goods that did not arrive or were short-supplied.
- Deadline. Bills reach the right person with the match already done, so you pay on the due date instead of finding a problem the day before. If you buy from small (MSME) suppliers, payment time limits apply by law; your CA confirms the one that applies to you.
- Risk. Every difference sits on one list with its reason, instead of being settled over phone calls.

In Kinnow
How Kinnow handles it
Buy keeps the purchase order, the goods receipt and the supplier's bill. The 3-way match agent compares them line by line and holds the bill when they differ. Above a limit, a match is required. Kinnow starts from a default based on your recent bill spend, with a floor of ₹50,000, and you can set your own flat limit. A rate that differs by more than 1% on any line is flagged as an exception.
The AI Invoice Extractor reads a supplier invoice (PDF or scan) and fills in the bill, checking that the amounts add up before anything is saved. Both agents are validated with each client before they work on your books.
Both suggest and your team approves. Kinnow does not make payments: this release has no supplier payment run and no bank payment file.
Questions
What is accounts payable automation?
Software and AI agents that handle supplier invoices for you. They match each bill to its purchase order and goods receipt, so your team only steps in when something does not agree.
Does Kinnow pay my suppliers once a bill matches?
No. A matched bill still waits for your team to approve it, and this release has no supplier payment run or bank payment file. Your team pays from your bank as it does today.
What happens when the three documents disagree?
The bill is held and shows up as an exception with the reason, for example that the bill quantity is higher than the quantity received. Your team asks the supplier for a credit note or corrects the receipt, then approves.
