ERP for wholesale & distribution. Order to cash for distributors, with credit, stock and GST watched daily.
Order to cash for distributors: credit checked before the order ships, the right lot out first, and the money chased by how late it is.
From December 2026How does Kinnow help a distributor? Credit is checked before the order ships, not after. The right lot leaves the warehouse first, the invoice comes from the dispatch, GST is priced on every line, and overdue customers get a reminder whose tone follows the days overdue. Nothing is filed, paid or posted without a person.
Singapore edition, from December 2026. Nothing on this page is live in Singapore today. The ready-made setup for Distribution and Trading (we call it an industry pack) is already built into the product. We apply it with you when the edition opens.
Your business in one paragraph
A distributor buys from a principal, often imported, and sells on credit to hundreds of trade customers. The margin is thin, so the money is made or lost in four places: how much credit goes out, how fast it comes back, which lot leaves the warehouse, and whether the GST on the purchase side, including GST paid on imports, is recorded properly. The warehouse works from slips and the accountant reconciles at month end.
Credit that lives in someone's head
A customer crosses the limit and the order still goes, because the check is a person remembering.
Receivables that age past 90 days
Reps chase the next order, not the last payment, and old invoices become bad debt.
Stock that dies on the shelf
Slow movers and near-expiry stock tie up working capital that nobody sees until the stock count.
Bring your three biggest customers and we will show the credit check on their ledgers.
How your month runs on Kinnow
This is the order-to-collection loop, with the buying and delivery loops that feed it.
| # | Step | Who | Application | Where a person signs |
|---|---|---|---|---|
| 1 | Rep visits the customer on the visit plan; the enquiry is entered and becomes a quotation | Sales rep | Sell, Field | Quotation approved before it converts |
| 2 | The order meets the credit check: limit, overdue invoices, any explicit hold | Credit controller | Sell | Credit hold cleared by a person with the right; reason recorded |
| 3 | Approval levels by order value (auto, sub-manager, manager, MD) | Sales manager, MD | Sell | Each tier signs its band |
| 4 | Stock allocated; pick list built with the earliest-expiry lot first | Warehouse supervisor | Stock & Ship | Pick confirmed; a different lot than first-expiry is flagged |
| 5 | Dispatch: delivery order, trip and delivery by driver | Dispatch clerk, driver | Stock & Ship | Dispatch confirmed by a person |
| 6 | Invoice approved with GST priced per line and checked as a tax invoice; a business customer's invoice is marked for InvoiceNow (Singapore's e-invoicing network) | Accounts executive | Account, Comply | Invoice approval |
| 7 | Driver or rep confirms delivery; the delivery order closes | Driver, rep | Field, Stock & Ship | Delivery confirmed |
| 8 | Collections: reminders by days overdue, receipts allocated to invoices | Collections executive | Account, Sell | Reminders above the amount you set go to a person |
| 9 | Replenish: reorder recommendations against open purchase orders; match bill, receipt and order | Procurement officer | Buy | Purchase orders above your limit need approval |
| 10 | Month-end: close, payroll with CPF (the Central Provident Fund contributions) for reps and drivers, and the quarter's F5 (the quarterly GST return) drafted for review once the groundwork is completed before launch for review once the groundwork is completed before launch | Accountant, finance head | Comply, Account, People | Return and close signed by a person |
What the industry setup puts in place
The Distribution and Trading setup is built into the product: 7 safeguards, 4 sign-off routes, 8 report codes, 10 Ask Kinnow starters, 9 agents and 20 step-by-step routines. The figures are starting values you change, set in Singapore dollars with you in the first week. Reach (campaigns) is switched on by default for this setup.
| Limit | Effect | Why it is there |
|---|---|---|
| Credit limit over your limit | Needs approval | Credit is the distribution business; this is a lending decision |
| Sales order over your limit | Needs approval | A large order against existing exposure is where a receivable goes bad |
| Purchase order over your limit | Needs approval | Commits working capital to one principal |
| Manual journal over your limit | Needs approval | Moves the books without a source document |
| Lead entered over your limit | Warning | It moves the forecast the moment it is typed |
| Campaign budget; trade campaign with no audience | Warning | Brand spend sits outside the trading margin, and an audience-less campaign reaches nobody |
Ready-made routines include Order to collection, Replenishing the warehouse, Campaign to first order, Dispatch to delivery, Customer return to credit, Invoice correction by credit note and Stock transfer between warehouses.
Agents for distribution and trading
Collections
Drafts overdue reminders and steps them up according to how many days a payment is actually late. A person approves each reminder before it goes out.
Credit-risk assessment
Reads payment history, outstanding trend and order frequency before an order is approved and recommends approve, conditional or block.
Reorder Planner
Recommends how much to reorder and when. It skips an item that already has a draft reorder open, and it never raises a PO by itself.
StockFEFO/FIFO selector
A rule built into the pick list: it uses the lot that expires first (FEFO) or the one that came in first (FIFO), as you choose when the list is made, and checks again when the pick is confirmed.
StockSlow-mover Detector
Finds stock that has not moved for a set number of days and ranks it by the money tied up in it, so you can review it.
Expiry Watchdog
Walks stock lots every night and marks those past expiry, so they stop being offered for sale.
Dead Stock Recovery
For each dead-stock item, works out the value at risk and suggests a transfer to a faster warehouse, a discount sale or a write-off. A person decides.
Every agent is validated with each client before it works on their books, and every output waits for a person.
Ask us to run your last month's overdue list through the Collections agent.
Statutory and compliance calendar for a distributor (Singapore)
Kinnow prepares; a person confirms and files. Dates are not printed here because the authorities set and change them.
| Obligation | What Kinnow prepares | What stays with you |
|---|---|---|
| GST F5 return (quarterly) | Boxes 1 to 8 of the F5 for the quarter, from the sales invoices, credit notes and purchase bills in your books; a credit note reverses its line. Kinnow prices each line at 9 per cent, zero-rates a customer outside Singapore and carries a short exempt list. The calendar puts each return one month after its quarter ends, from the accounting cycle IRAS (Singapore's tax authority) gave you; it refuses to guess the cycle. | A person reviews every box and files through the IRAS portal with their own CorpPass (the government login for businesses) login. Kinnow does not submit it. A Singapore adviser checks the box layout against the current IRAS form before the first filing. |
| Tax invoices | The Singapore country setup holds the checks for a tax invoice: a valid GST registration number or UEN (company registration number), date, serial number, the GST amount, and the words Tax Invoice on a full tax invoice (a simplified invoice is allowed up to S$1,000 including GST). A reverse-charge supply that also charges GST is refused. | The finance lead decides which invoices are simplified and which supplies are reverse-charge. |
| InvoiceNow (e-invoicing) | An invoice to another business is marked to go through InvoiceNow, Singapore's national e-invoicing network. Kinnow builds the invoice file in the Peppol format that InvoiceNow uses, addressed by UEN (the company registration number), and refuses one with no supplier UEN. It runs against a test connection only: nothing reaches the network. | Connecting a certified access point (an approved sender on the InvoiceNow network) is a commercial step with a provider. Once delivered, an invoice cannot be cancelled; a credit note corrects it. |
| CPF and the Skills Development Levy (monthly) | Payroll works out CPF by age band, on the ordinary-wage ceiling, and the employer's Skills Development Levy, on each payslip. It needs a recorded date of birth and citizen or permanent-resident status, and lists anyone it had to skip. It withholds no income tax: Singapore has no PAYE for citizens and permanent residents. | Payment and submission to the CPF Board happen outside Kinnow. IR8A, IR8S, Appendix 8A (the yearly employee pay statements) and the monthly CPF submission are named in the Singapore setup as filings; Kinnow does not prepare or submit them. |
| ACRA annual return, AGM, estimated chargeable income, corporate tax return | Tracked as registrations on your company, each with the due date Kinnow works out and a lead time before it. The AGM and the annual return are two items, because they run on two clocks. | The company secretary and finance head confirm every date against ACRA (the company registrar) and IRAS, and file. |
| Import costs | Landed-cost vouchers add freight, duty and clearing cost to the stock value, split by value, quantity, weight or volume. GST paid on an import that is recorded as an import is counted in the F5's purchase and input-tax boxes. | Customs declarations and import permits are made outside Kinnow. |
What the owner sees
Typed into Ask Kinnow, each answer names its source report and what it cost before it runs.
| Ask Kinnow | Answer built from |
|---|---|
| Which customers are over their credit limit? | Receivables ageing |
| What did we sell by brand last month? | Sales register |
| Show me pending sales orders by branch | Pending sales orders |
| Which SKUs are dead stock? What is my warehouse stock worth now? | Dead stock, stock valuation |
| Which outlets have not ordered recently? Where is my pipeline stuck? | Lead pipeline by stage |
| Which item groups grew and which shrank this year? | Item-group yearly sales |
Each answer shows its source and what it will cost before it runs. Veil, our privacy layer, holds back bank, tax and ID numbers and swaps names for placeholders before an AI call. It covers Ask Kinnow and most agents today; the rest are being added.

Questions
Can Kinnow stop orders to customers over their credit limit?
Yes. A sales order goes through a credit-hold check before dispatch; a party with an active credit hold cannot ship until someone with the right to clear it does, and the reason is recorded. Overdue beyond the stoppage limit (90 days by default, which you can change) puts a customer on stoppage.
Who approves an order, and for how much?
By default an order goes through four tiers: automatic below the first band, then sub-manager, manager and MD. The setup also asks for approval on a large order and on a large credit limit. Every band and limit is a figure you set, in Singapore dollars.
Does Kinnow file my GST return?
No. The groundwork to draft the quarter's F5 from your own books is completed before launch; a person reviews it and your team files it through the IRAS portal. A Singapore adviser checks the box layout against the current IRAS form before the first filing.
Can we move our customers, price lists and opening stock from our current software?
Yes. Masters and opening balances are imported in the first week, and we go live alongside your current software until the month-end numbers tie.
What if an agent is wrong?
Every agent output waits for a person, shows what it used, and is validated with each client before it works on their books. Reject it and the reason is kept.
How long to set up?
About two weeks to first results for one company, counted from when your Singapore edition is switched on in December 2026: masters and opening balances in the first week, agents switched on and a first close in the second. Several warehouses or companies go live one at a time.
Do the reps and drivers need an app?
They use Kinnow in the browser, including the phone browser. There is no native app and no offline mode.
