From supplier quote to purchase order
Drop in a supplier's quote as a PDF or photo; Kinnow drafts the purchase order and flags doubts.
Live in partWhat does Buy something do? Faster buying with fewer typing errors and fewer tax credits lost to suppliers who bill the wrong tax.
How it works
Just say what you're buying. Attach a supplier quote and AI reads it into a draft order; each pre-filled value shows its source until you edit it. Unclear lines carry a written caution, exchange rates aren't carried over, a supplier not yet in Kinnow comes pre-filled so you can add them, and the tax type is checked. Nothing saves until you submit.
If the quote's lines don't add up to its subtotal, the draft says so; foreign-currency amounts are never quietly entered as your currency.
- Each failure mode is named on screen ('No text', 'Withheld by privacy layer', 'Unavailable'), and an unscanned file is never read.
- Out-of-range amounts trip a run guard and surface for review; unmatched items are listed rather than silently dropped.
Step by step: from a supplier's quote to a purchase order
- The buyer opens "Buy something". The screen asks what you are buying. You can type or paste a request, such as a supplier email or an internal note, or drop in the supplier's quotation as a file. Or you can start the order by hand.
- Kinnow reads the quote. It reads the text from a PDF, or from a scan or photo, and finds the supplier, the lines (description, SAC or HSN code, quantity, unit, rate), the tax type printed on the quote, the quote number and date, any advance asked and the delivery window.
- The supplier is matched carefully. The supplier is matched in your records by registration number first, then by exact name. Never by a partial match, and never by picking the first of two.
- Each doubt is written down. A missing quantity is set to 1 and flagged. A rate worked out from a printed line total is flagged. A line whose total does not equal quantity times rate is flagged. If the quote's lines do not add up to its own subtotal, the draft says so. The tax type is checked against what applies.
- The buyer reviews and edits. Every pre-filled value shows where it came from, such as "from the quotation", until the buyer edits it. Nothing exists yet.
- The buyer submits. Only when the buyer saves does a purchase order draft appear.

What you see on screen
| What you see | What it means |
|---|---|
| Buy something | The starting screen: "Tell us what you are buying, or drop the supplier's quotation and we will fill in the order for you" |
| Draft for review | Supplier, lines, expected delivery date, tax type and the quote reference, all editable |
| Cautions on lines | A written note on any line Kinnow was unsure of |
| Pricing | For a typed request, rates are not drafted. You price each line from your rate contract on the next screen. For a quote, the printed rate is shown as "from the quotation" for you to confirm |
| A named failure | "No text" (an unreadable or empty file), "Withheld by privacy layer", or "Unavailable". An unscanned file is never read |
A file over 10 MB is refused, and so is one that fails the safety scan.
Who uses it
- Buyer or purchase executive: turns quotes and requests into orders without retyping.
- Purchase head: sees why a figure was flagged before approving.
- Accounts: receives orders where the tax type has already been checked, which means fewer credits lost to wrong-tax bills.

What is Buy something in Kinnow?
Drop in a supplier's quote as a PDF or photo; Kinnow drafts the purchase order and flags doubts.
What changes for the business?
Faster buying with fewer typing errors and fewer tax credits lost to suppliers who bill the wrong tax.
Is it available today?
It is live in part: the core is built and parts are completing with early customers.
Does the AI set the price on a purchase order?
From a typed request, no. Rates are not drafted, and the buyer prices each line. From a supplier quote, the printed rate is shown as a reference marked "from the quotation" for the buyer to confirm.
How does Kinnow pick the supplier?
By registration number first, then by exact name. If it cannot match with certainty it pre-fills the supplier details so you can add them, rather than guessing.
