Hide salaries and margins by role

Salary, margin and cost figures disappear, on screen and in exports, for roles not allowed to see them.

Short answer

What does Field-level permissions do? Open the system to more of your team without exposing payroll, margins or supplier commissions.

How it works

Each sensitive figure has its own permission, separate from the permission to open the screen. For roles without permission, Kinnow removes sensitive figures such as salary cost, segment margin and direct cost before anything reaches the screen. Those columns are hidden, and spreadsheet exports include only visible columns, so hidden data never reaches Excel. Actions you can't take are hidden.

The detail that makes it real

Figures are removed before they leave Kinnow, whatever the screen shows, so a hidden column is also missing from CSV and Excel exports.

Step by step

Here is how it runs for a company where the accounts head, the HR manager and a few sales managers all use Kinnow, and only some of them should see what people earn or what a job earns.

  1. An administrator gives each person a role. The roles that ship with Kinnow already separate the people who may see figures from the people who may only look at a report, for example a viewer, a sales rep, an accountant, an HR manager.
  2. Each sensitive figure sits behind its own permission. Margin and cost on finance reports, salary and pay on HR screens, supplier commission and rebate terms, lease rent, manufacturing work-order cost and sales margin each have a separate permission, so one person can open a report without being able to see its margin line.
  3. The person opens the report as usual. Kinnow leaves the figure out before it builds the answer. It is not sent to their browser and hidden there, so it cannot be recovered by looking at the page source.
  4. The screen adjusts quietly. A hidden column simply is not listed; a hidden headline number drops out of the row of numbers at the top. Kinnow does not show a zero in its place.
  5. They export to Excel or CSV. The file holds only the columns they can see, so a hidden figure does not turn up in a spreadsheet that gets forwarded.
  6. If someone should see more, the administrator changes the role. Roles carry the permissions, so you change one role rather than switching figures on report by report.

What you see on screen

The same few places are where owners notice the difference between roles.

WhereWhat you see
Segment profit and loss (Account)Margin and cost columns appear for an accountant or finance manager. A viewer opens the same report and sees the revenue lines without the margin and cost columns.
Profit and loss (Account)Operating and net profit figures and direct cost are withheld from roles without the margin and cost permissions.
Finance dashboardThe net margin percentage tile is not shown to a role without the margin permission.
Salary register (People)Earnings, deductions, gross, net and bank account fields appear for an HR manager. Others see the register without them.
Employee list and employee page (People)Annual CTC and the basic-pay percentage are hidden for roles without the compensation permission.
Sales segment report (Sell)Gross profit is a fifth number in the row of totals. Without the sales margin permission, the report shows four numbers and four columns, not a zero.
Excel and CSV downloadsThey carry the same columns as the screen, so what is hidden on screen is missing from the file.

Who uses it

WhoWhenWhat they do with it
Owner or finance headBefore opening Kinnow to the wider teamDecides which roles may see margin, cost, pay and commission. The groundwork is already set: by default managers and accountants see them and viewers do not.
HR managerPayroll week and appraisal seasonSees salary registers and CTC. Colleagues who only need headcount or attendance do not.
Sales or branch managerWhen reviewing invoices and segment resultsSees margin on their own area if their role allows it; a rep sees the order and invoice, not the cost of goods.
Anyone with a viewer roleWhenever they open a reportReads the report without the margin, cost or pay figures, because viewers are deliberately left without those permissions.

Questions

What is Field-level permissions in Kinnow?

Salary, margin and cost figures disappear, on screen and in exports, for roles not allowed to see them.

What changes for the business?

Open the system to more of your team without exposing payroll, margins or supplier commissions.

Is it available today?

Yes, it is live.

Can I let an accountant see margin but not salaries?

Yes. Margin and cost on finance reports and pay on HR screens are separate permissions, so a role can have one without the other. By default accountants have the finance ones and HR managers have the pay ones.

Can someone get the hidden figure from an Excel export?

No. Exports follow the screen, and the figure is left out before Kinnow builds the answer, so a hidden column is missing from the file as well.
