One approval inbox; nobody approves their own
Every sign-off waiting on you in one inbox, with named approvers and no approving your own requests.
LiveWhat does Approvals inbox & duty splits do? Fewer stuck approvals and fewer audit findings, because Kinnow checks that different people do each half of a task at the moment they act, not in a quarterly review.
How it works
Each approval step names a role, and Kinnow turns that into named people, including their stand-ins. The requester never approves their own request; if nobody else can, it goes to their manager. Held items show 'Waiting for Priya to approve', never a green tick. You can stop one person doing both halves of sensitive tasks.
A held item always names who it is waiting for, for example "Needs approval from Priya before this can go ahead". It is never shown as approved until it is.
Step by step
- Someone asks for a sign-off. A purchase order over a limit, a journal, a change to a shared record, or work an agent has prepared. Each step in the routine names a role, such as finance head.
- Kinnow turns the role into named people. It includes their stand-ins when they are away. The requester is never one of the approvers. If nobody else can approve, it goes to the requester's manager.
- It lands in one inbox. Waiting on you lists everything that needs your sign-off: approvals on records, agent work and changes to shared records. Each line says why it is yours and which step of the chain it is.
- You approve, or reject with a reason. Rejecting needs a reason, and the person who asked is told it was rejected, with your reason.
- Small, harmless items can go together. Items that are alike and move no money can be looked at and approved in one go. Anything that could post, pay or file something is approved one at a time.
- The record shows what happened. Every approval and rejection is kept with who did it. Items still held show who they are waiting for.

What you see on screen
This is the Waiting on you screen, and the approvals designer behind it.
| Screen or button | What it shows or does |
|---|---|
| Waiting on you | Everything that needs your sign-off in one place. A filter takes All, Sign-offs, Agent work or Shared-record changes. |
| Why it is yours | Each line says what kind of request it is, why it is yours, and Step n of n in the approval chain. |
| Approve and Reject | Reject opens a box asking for the reason. The person who asked sees it. |
| Approve all | For groups of alike items that move no money: a tick for I have looked at these, then Approve all. |
| People who can approve this step | Who holds the permission, and who covers if they are away. Names are shown only to those allowed to see them. |
| Empty state | Nothing is waiting on you, with a line on what will appear here. |
Who uses it
| Who | When |
|---|---|
| Finance head or approver | Clears the inbox each morning. |
| Department head | Signs off requests from their team and agent-prepared work in their area. |
| Requester | Sees that their request is waiting, and for whom. |
| Administrator | Designs the routine: which step needs which role, and who stands in. |
