Double-entry validator agent

Stops any journal entry that does not balance, or that uses a ledger that is not valid, before it can be posted.

Validated with each client
Short answer

What does Double-entry validator replace? The work of an accounts executive: check each journal balances and uses valid ledgers. Stops any journal entry that does not balance, or that uses a ledger that is not valid, before it can be posted.

Shows why

It shows its reasons and how sure it is on every draft. When it is not sure, it only brings the item to your attention.

Waits for you

Nothing is filed, paid or posted until a person approves it.

Gets reviewed

Every approval and correction is recorded, so you can see how it performs on your own books.

A day with the Double-entry validator

Most journals in Kinnow are made by other applications, such as invoices, bills and payroll. This day follows a hand-typed one at a 40-person manufacturer.

  1. An accounts executive types a year-end provision. The journal has a debit of ₹1,85,000 on an expense ledger and a credit of ₹1,58,000 on a provision ledger. She has mistyped one figure.
  2. Kinnow adds up both sides when she saves. It works in paise, so there are no rounding gaps. The two sides differ, so the journal is turned back with the amounts on each side and the difference.
  3. It checks each ledger. Every ledger named on a line must exist in your chart of accounts and be active. A wrong or switched-off code is refused with the code named.
  4. She corrects it and saves. A journal with at least two lines, a non-zero value and equal sides is accepted. A hand-typed journal, or one of ₹5,00,000 or more by default, then waits for an approver who is not the person who typed it.
  5. Two later checks run on what was posted. After posting, the totals on the journal are added again. Every night all approved journals are added together across the books, and any difference raises an alert.

What it reads and what it hands back

A fixed arithmetic check on every posting path, with no AI judgement in it.

What a person decides

  • Who approves. A hand-typed journal, and by default one of ₹5,00,000 or more, needs an approver other than its author. Your company can set a different limit. A rejection needs a written reason.
  • What you fix. The validator tells you what is wrong. A person corrects the journal and saves it again.
  • What it never does. It never posts, edits or deletes a journal for you, and it cannot check that the ledger you chose is the right one. Nothing is filed, paid or posted without a person.

Ask Kinnow about journals

Ask Kinnow answers from the books you may see. Questions an accounts head might type:

  • "Which journals were rejected this month and why?" Lists them with the reason the approver wrote.
  • "Which hand-typed journals above ₹5,00,000 are waiting for approval?" Lists them with who typed each one.
  • "Do debits equal credits in the books as of 30 September?" Gives the totals and the difference, if any.

Ask us to post a deliberately wrong journal on your chart and watch what happens.

Questions

What does the Double-entry validator agent do?

Stops any journal entry that does not balance, or that uses a ledger that is not valid, before it can be posted.

Can an unbalanced journal get through?

No. The Double-entry validator blocks a journal that does not balance or uses an invalid ledger before it can post.

Does Double-entry validator get better with use?

No. It is a fixed arithmetic check, and that is the point: the same journal gets the same answer every time. What your team teaches Kinnow is who approves what, and the reasons for rejections are recorded against each journal.

How is it paid for?

It is part of your agent pack. There are no per-user seats.

Does it check that I used the right ledger?

It checks that the ledger exists and is active. It cannot know whether you meant a different one. That is the approver's job.

Does it apply to journals made by invoices and payroll?

Yes. Every posting route ends in the same check, so a journal from another application is held to the same rule.
