Policy Agent agent
Answers policy questions from your own handbook text and cites the source.
Validated with each clientWhat does Policy Agent replace? The work of an HR & payroll executive: answer policy questions from the handbook. Answers policy questions from your own handbook text and cites the source.
Shows why
It shows its reasons and how sure it is on every draft. When it is not sure, it only brings the item to your attention.
Waits for you
Nothing is filed, paid or posted until a person approves it.
Gets reviewed
Every approval and correction is recorded, so you can see how it performs on your own books.
A day with this agent
A 60-person company with branches in three cities. HR answers the same handbook questions every week.
- Your policies sit in the Vault. The handbook, leave policy, expense policy, approval limits and code of conduct are uploaded once. Kinnow sorts such files by type, so it knows which ones count as policy.
- Someone asks in plain words. A branch manager types, "What is the limit for a client dinner?" The question is first checked for attempts to slip in instructions.
- Kinnow finds the passages, for that person only. It looks only at passages the asker may open, by role, branch and company. A manager in one branch does not see a policy kept for another.
- It answers from those passages, or says it cannot. If nothing relevant turns up, the reply is "I don't have a policy that covers this." Otherwise you get an answer of one to three sentences, with the file and a quoted line from it.
- Kinnow checks the citations. Every source named must be one of the passages it actually found. An invented citation is rejected.
- HR reviews the unsure ones. An answer with confidence below 0.75 is marked for a person to review. The HR executive confirms it or corrects it, and the correction is recorded.
See it answer from your own handbook. Ask us to run it on your leave and expense policies.
What it reads and what it hands back
| What it reads | What it hands back | Where it lands |
|---|---|---|
| Policy files in the Vault: handbook, leave and expense policy, approval limits, code of conduct | A short answer in plain words | In the answer to the person who asked |
| The question, as typed | The file and a quoted line (up to 200 characters) for each source | Beside the answer |
| The asker's role, branch and company | Only the passages that person may open | Applied before any answer is written |
| Its own confidence in the answer | A score; below 0.75 is marked for review | The HR executive's review |
What a person decides
Nothing is filed, paid or posted without a person. For this agent, a few choices stay with you.
- Switching it on. Your administrator turns on the organisation-knowledge setting. It is off until then.
- Which files count as policy. You upload them and you keep them current.
- Unsure answers. A person reviews every answer marked as unsure before anyone acts on it.
- What it never does. It does not invent a policy, show a passage the asker could not open, or change a policy. It is told to answer only from your documents.
Ask Kinnow about this
Ask in your own words. Each answer shows its source before you act on it.
- "How many days' notice does our handbook ask for on resignation?" Shows the clause and the file it came from, or says there is no such policy.
- "What is the limit for a client dinner?" Shows the line from the expense policy and how sure Kinnow is.
- "Who must approve a purchase above ₹2,00,000?" Shows the matching row of your approval limits.
- "Can staff carry forward unused leave?" Shows the leave clause, or says your documents do not cover it.
Bring the five questions your HR team answers most often.

Questions
What does the Policy Agent agent do?
Answers policy questions from your own handbook text and cites the source.
Where do the Policy Agent's answers come from?
From your own handbook text, with the source cited. Every source named must be one of the passages Kinnow actually found.
Does Policy Agent get better with use?
Kinnow records each approval, correction and rejection against the confidence the agent stated, so you can see whether "sure" really means sure on your own documents. That is a measurement for you to read. The agent does not rewrite its own behaviour from it.
How is it paid for?
It is part of your agent pack, and there is no charge per user.
Can an employee see a policy meant only for HR?
No. Kinnow looks only at passages the person asking is allowed to open, by role, branch and company.
What if the handbook says nothing on the question?
It says "I don't have a policy that covers this." It does not guess.
