Scheduling that chases itself, politely
Kinnow offers real free times, nudges only the side holding things up, and offers new times after a no-show.
Live in partWhat does Self-running scheduling do? Programme managers running mentoring sessions stop spending hours chasing calendars, without spamming anyone.
How it works
Kinnow offers at most three genuinely free times from both calendars, and refuses rather than offer none; the AI never picks the time. Reminders go only to the side holding things up, and ease off. Unattended sending needs a standing approval with a named approver, a limit and an end date. After a no-show, Kinnow offers new times. Built for mentoring sessions in a programme; other kinds of booking are set up with you.
If a calendar can't be read, the time counts as unknown, not free; a time busy on either calendar is never offered.
Step by step
Kinnow builds this today for mentoring sessions inside an incubator or accelerator programme. Picture a programme manager with 40 startups and a pool of mentors.
- A match becomes an offer. When a startup and a mentor are matched, Kinnow looks at the mentor's published hours and calendar and opens a booking with at most three free times. If it cannot find a real free time, it offers none, rather than send an empty page.
- The startup picks, or Kinnow books. Depending on the mentor's setting, the startup picks one of the times, or Kinnow books the earliest time both are free if both have connected a calendar.
- Quiet bookings get a nudge. If nothing has moved for 48 hours, Kinnow reminds whichever side is holding things up: the startup while it has not picked, the mentor while it has not confirmed. Each reminder waits longer than the last, and after the limit it stops and escalates to the programme manager.
- Sending needs your standing approval. Unless the programme manager has switched on Auto-chase for that programme, reminders are drafted for review, not sent. Auto-chase records who approved it, how many reminders per person and the hours between them, and when it ends.
- Rhythm continues. For a recurring mentoring series (monthly, quarterly, every six months or yearly) Kinnow offers fresh times when the next session is due. It offers; it never books on its own.
- A missed session is re-offered. A session that nobody attended is left on record as missed. After a day's wait, Kinnow opens a new offer. It gives up after a month.

What you see on screen
These are the parts of the Serve application you will see for mentoring.
- Auto-chase: an On or Off switch for each programme. The text beside it reads, for example, Up to 3 reminders per person, at least 24h apart, approved by the programme manager.
- Show me what it would send: a preview that sends nothing, and Chase now to run it at once. When nothing is stuck it says Nothing has gone quiet.
- Booking: Founder picks a time, Auto-book a time that works for both, or Use the mentor's default.
- Session rhythm: Run the rhythm now, with results such as Offered, Not due, No slots, Already booked and Needs setup.
- Awaiting mentor: the bookings where the mentor's confirmation is outstanding.

Not unless you switch Auto-chase on for that programme. Until then it only drafts reminders for you to review. Switching it on records who approved it, the reminder limit and when it ends.
