Employee complaints and surveys that stay safe
Complaints are hidden from the manager they concern, and surveys can't identify who answered.
LiveWhat does Confidential cases + anonymous pulse do? Employees can raise concerns knowing the person concerned cannot see the case, and survey answers stay anonymous.
How it works
Every HR case records who it is about, and that person can never see it, whatever their role or seniority. Grievances are always confidential. Response timers pause while you wait on the employee and respect local weekends. Survey answers have no place to record who gave them, and results for small groups are hidden and marked as hidden.
A survey response has no field for who answered, so no report or export can reveal it.
Step by step
Here is how it works for a company of a few hundred people with a small HR team.
- Any employee raises a case. Anyone signed in can raise a helpdesk request or a grievance, not only HR. A channel only HR could reach would not be a channel.
- A grievance is confidential from the moment it is filed. The category decides this, not a tick-box someone might forget. Every case also records who it is about.
- The person it is about can never see it. This check comes first, before HR, before the assignee, and whatever the person's seniority. A manager cannot read a complaint made against them, even though they outrank the person who filed it.
- HR works the case. A case moves through Open, In progress, Waiting on employee, Resolved and Closed. The response clock pauses while you wait for the employee, and it counts only working days under your country's weekend.
- Only people who handle cases can mark it resolved. Everyone else can raise a case.
- Surveys are anonymous by construction. HR creates a short pulse survey and enters how many people were invited. Employees answer on the same screen. A response has no field for who gave it, so no report or export can reveal it.
- Small groups stay hidden. Results can be split by something like department. A group with fewer than three answers is withheld, and listed as withheld with the reason rather than quietly dropped.
Ask us to show the HR cases screen from the point of view of a manager who is the subject of a complaint.
What you see on screen
Both screens are in People.
| Where | What you see |
|---|---|
| Cases: the list | Each case with its state and who raised it. Where the name cannot be found, the reference is shown, never a blank cell. |
| Cases: what you can and cannot see | A line saying how many cases you are shown and how many exist that you are not, so nobody mistakes their view for the whole queue. |
| Cases: Mark resolved | Shown only to people who handle cases, and only while the case is open. |
| Pulse surveys: how anonymous it really is | A plain statement that responses carry no name because the record has no place for one. |
| Pulse surveys: People invited and Response rate | How many were asked and how many answered. If nobody entered the invited count, the screen says there is no rate rather than inventing one. |
| Pulse surveys: Break results by, Withheld | Splitting by a field, and the groups hidden for being too small, each with its reason. |
Who uses it
Everyone has a part.
| Who | When | What they do |
|---|---|---|
| Any employee | Whenever there is a problem | Raises a case or answers a pulse. |
| HR executive or head | Daily for cases, monthly for pulses | Works cases, pauses the clock when waiting, creates surveys and reads results. |
| Department head | When HR shares results | Reads the results for their team, if the group is large enough to be shown. |
| Owner or director | Quarterly | Reads response rates and withheld groups before drawing conclusions. |
Ask us to run a pulse survey with a small group so you can see the hidden-group message.

What changes for the business?
Employees can raise concerns knowing the person concerned cannot see the case, and survey answers stay anonymous.

Yes, it is live.
Can HR see who answered a survey?
No. A survey response has nowhere to store who gave it, so no screen, report or export can show it, including to someone with direct access to the data.
What happens to a complaint about a senior manager?
The person a case is about is excluded first, whatever their role. Who else can see it depends on the case and on each person's role, and the screen tells each viewer how many cases they are not shown.
