One directory for people, approvals and routing
Change someone's manager and approvals reroute automatically. Everyone with a Kinnow login is listed in one place.
Live in partWhat does Directory do? No separate org chart and chart of who approves what to keep in step.
How it works
One directory lists everyone who has a Kinnow login, so no part of Kinnow keeps its own list of staff. Visitors are kept in the visitor gate register. Names are meant to be clickable, showing who someone is, what they approve and who they're covering for. Because reporting lines are approval lines, changing a manager sends the next approval to the new person with no setup.
The directory is included on every plan; the person card is live on some screens, not yet on every name.
Step by step: setting up and changing reporting lines
- Load the people. Upload one sheet with name, designation, department or function, email and who each person reports to. Kinnow matches a manager by name even when the spelling drifts, then keeps the link by email, and it points out loops in the reporting chain before anything is saved.
- Each person gets a login and a role. The sheet creates the employee record, the login and a role based on department and level, so a manager sees their own team and an ordinary staff member sees their own records.
- Approvals follow the lines. Expense, leave and payment approvals go to the person someone reports to. Project sign-offs can go to a dotted-line manager, and fall back to the direct manager when there is none.
- A manager changes. Update the line once. The next approval goes to the new person with nothing else to configure.
- Someone is away. Record who covers for whom or who a person delegates to, so the Directory shows it when a name is opened.
See your own reporting lines and approvals in Kinnow. Send us a staff list and we will load it for you.
What you see on screen
The Directory screen is called the roster. It lists every person who has a Kinnow login, with three columns: Person, Reports to, and Direct reports (a count). Someone at the top of the company shows as "Top of the line". Open a name and a card shows the relationships recorded for that person.
| On the card | What it tells you |
|---|---|
| Reports to / Direct reports | Who the person answers to and how many people answer to them |
| Dotted line to / Dotted-line reports | A second, project-style reporting line, where you use one |
| Delegates for / Delegated to | Who acts for whom while someone is away |
| Covers for / Covered by | Who covers a colleague |
| Department and Function | The groups the person belongs to |
Names on several other screens open the same card, so you do not need to visit the roster to find out who someone is.
If reporting lines have not been set up yet, the screen says so and leaves the Reports to column empty. It does not show an empty column as proof that nobody reports to anyone.
Who uses it
- The owner or HR head loads the staff sheet once, and again when the organisation changes.
- Managers see who approves what for their team and who covers when someone is away.
- Anyone raising a claim, leave or payment request sees where it will go before they send it.

Questions
What is Directory in Kinnow?
Change someone's manager and approvals reroute automatically. Everyone with a Kinnow login is listed in one place.
What changes for the business?
No separate org chart and chart of who approves what to keep in step.
Is it available today?
It is live in part: the core is built and parts are completing with early customers.
Who can see the roster?
People whose role includes permission to read the directory. Seeing the roster does not give anyone more access to records than their role already allows.
Do I need to enter reporting lines by hand?
No. You can upload one sheet with name, designation, department, email and who each person reports to. Kinnow checks it for loops and for managers it cannot match before saving.
