Where is this stuck, and with whom?

Key documents show their journey: the steps done, who holds the record now and how long it has waited, with who did each step where that was recorded.

Short answer

What does Record trace & document chain do? 'Where is my order?' takes one glance, and bottlenecks come with names and hours, not email chases.

How it works

Each record is shown against the usual steps for its industry. Every completed step shows who did it, when and why, wherever that was recorded. Kinnow names who holds the record now, how long it has waited and whether the deadline has passed. The paper trail links quote, order, delivery, invoice and receipt, and each one opens alongside the record.

The detail that makes it real

Opens from the orders, invoices, purchase orders and other records listed below; a step with no evidence reads 'Not recorded', never blank and never made up.

Step by step

  1. Open the record. Open an order, invoice, purchase order or any of the other records listed below.
  2. See its journey. The record is laid against the usual steps for your industry. Each step reads Done, Waiting here now, Not started, or Blocked.
  3. Read who did each step. A finished step shows who did it, when, and the reason, wherever that was recorded. Sales, finance and supplier records are stamped this way today. Where it was not recorded, it says "Not recorded on this record".
  4. See who holds it now. "With Rahul now", "With anyone who can approve", or "Moves on by itself". If nobody is recorded, it says so.
  5. See how long it has waited. "Waiting since" and the time allowed. If the deadline has passed it reads "Over the time allowed by 6 hours".
  6. Follow the paper trail. "Came from, and became" links quotation, order, delivery, invoice and credit or debit note, or purchase order, goods receipt and supplier bill. Each opens beside the record.

What you see on screen

  • The journey panel. Steps with their state, "Done by {name}", "Waiting since", and a line for who holds it.
  • Came from, and became. The linked documents. It tells you when it was cut short because the chain is long, or when receipts and payments could not be read just now.
  • Approvals, on an invoice. Who asked, who approved, who turned it down, and who it is waiting on.
  • What changed. The latest changes to the record, with who made them.
  • Where it appears. Sales enquiries, quotations, orders, deliveries, invoices and returns; leads and marketing campaigns; purchase orders and requisitions; finance journals; stock transfers; maintenance work orders; installed units; transport trips; leases.
