No expired licences sent on jobs
Nobody with an expired licence or certificate gets assigned work; warnings start 30 days ahead.
Live in partWhat does CredentialGuard do? Removes the safety and compliance risk of an unlicensed driver or uncertified technician on a job.
How it works
Each worker's required licences and certificates are tracked, with warnings at 30, 15 and 7 days by default. On the expiry day the worker is automatically blocked from assignments; it's a hard safety stop, not a reminder. Document reading is in pilot: where it is switched on for your account, Kinnow reads an uploaded document and checks its numbers and dates against what was typed, flagging differences.
When document reading is on, an unclear date like 03/04/2026 is recorded as unclear, never guessed.
Step by step
Take a security agency, a transport company or a service business with technicians on the road. The operations head owns the documents; the dispatcher feels the effect.
- Record each required document. For a driver, guard or technician, the operations team enters the document type, number, issue date and expiry date. Your industry setup decides which documents matter and which of them block dispatch.
- Warnings count down. At 30, 15 and 7 days before expiry the document moves into a warning tier. You can change these three numbers for your company, for example to 60, 30 and 14 if your licence renewals take longer.
- A daily check runs. Kinnow checks every worker's documents each morning at 6 o'clock, company time, before the day's dispatch is planned.
- The expiry day is a stop, not a reminder. A worker whose required document has expired, or was never recorded, is not offered for assignments. This does not wait for anyone to read an email.
- Optional: document reading. Where this is switched on for your account, you attach an image of the document. Kinnow reads the number and dates and compares them with what was typed. It lists the differences and never overwrites what a person entered.
- Renew and record. Someone records the renewed document with its new expiry date. The worker is checked again at the next dispatch.

What you see on screen
The screen is called CredentialGuard, in Field Ops.
- The countdown: four counts at the top, Expired (blocking), Within 7 days, Within 15 days and Within 30 days, with a Run sweep button.
- Resources blocked from dispatch: the list of people or vehicles who cannot be assigned today, and which document is the reason.
- Record document: a form with the resource, document type, document number, issued on, expires on, a link to the file and an optional document image. A note warns that a document with no expiry date will never warn and never block.
- What the document says: after a document image is read, the values found, and a list headed Worth checking, with messages such as The expiry date on the document is different from the one you entered, or The expiry date could be read two ways, please confirm it from the document.
Who uses it
| Who | When | What they do |
|---|---|---|
| Operations or compliance head | Weekly, and whenever a renewal comes in | Records documents, reads the countdown, chases renewals. |
| Dispatcher | Every day | Assigns jobs from people who are cleared; sees who is blocked and why. |
| Branch or site manager | When a worker is blocked | Gets the worker's renewal done before the next shift. |

Questions
What is CredentialGuard in Kinnow?
Nobody with an expired licence or certificate gets assigned work; warnings start 30 days ahead.
What changes for the business?
Removes the safety and compliance risk of an unlicensed driver or uncertified technician on a job.
Is it available today?
It is live in part: the core is built and parts are completing with early customers.
Can I change the 30, 15 and 7 day warnings?
Yes. The three numbers are a company setting. A company with a long renewal cycle can use 60, 30 and 14. The block on the day of expiry does not move with them.
What if a worker has no document recorded at all?
A required document that is missing counts the same as an expired one, and the worker is not offered for dispatch until it is recorded.
