Finished field work becomes invoices and paperwork

Every completed duty, delivery or visit is priced with the calculation shown, and goes to billing when someone presses Settle.

Short answer

What does Work-to-Money Settlement do? Fewer unbilled jobs and fewer billing queries, because every invoice line shows how it was worked out.

How it works

Each finished job is booked to the right account, so a bill never turns up as a receipt. You can price by slab, per km, per hour, per visit, per shift, per drop, or labour plus parts, and each amount shows how it was worked out. E-way bills are raised only when goods actually moved; anything skipped is saved with its reason.

The detail that makes it real

If a job can't be billed, it shows 'failed' with the reason instead of quietly going back to pending, so unbilled money can't hide.

Step by step

Here is a day for a company with drivers, technicians, guards or sales executives out on jobs. Everything starts when the person on the ground closes the job.

  1. The job is closed in the field. The driver, technician, guard or sales executive completes the duty, delivery or visit and records it. The record keeps the time the work happened, taken from the device. If the phone was offline, the work is dated when it was done, not when it reached Kinnow.
  2. Kinnow works out what the job produced. A closed job can give one or more outcomes: a bill, an order, a collection, proof of delivery, an audit, a meter reading, a patrol log, a stock movement or a service close. Which outcomes apply, and where each one goes, comes from the ready-made field setup for your kind of work (field sales, field service, logistics, mobility or security).
  3. Each outcome is priced and the working is saved. Price by slab, per km, per hour, per visit, per shift, per drop, or labour plus parts. The amount is kept together with how it was worked out, so a customer who queries a line can be shown the arithmetic.
  4. Someone presses Settle. Settle sends each pending outcome to the application that owns it: a bill becomes an invoice in Sell (for logistics, a freight bill in Transport), a collection becomes a receipt allocated against open invoices in Finance, a stock movement becomes an Inventory adjustment, and a service close becomes a work order in Maintain.
  5. The invoice meets your usual limits. A field-raised invoice is checked like any other invoice. If you have a limit that says an invoice above some value needs approval, it waits as a draft for that approval.
  6. Anything that fails stays visible. If an outcome cannot reach its destination, it is marked failed with the reason and stays on the Failed list. It does not slip back to pending, so unbilled work cannot hide.

Send us a week of your duty slips or delivery notes and we will show them as invoices.

What you see on screen

The screen is Field, then Settlement, described as captured outcomes on their way to the books.

WhereWhat you see
Failed (count)Outcomes that could not reach their destination, each marked "Could not route" with the reason. This list comes first because it is the one that needs a person.
Pending (count)Outcomes produced but not yet sent to billing, finance, stock or maintenance. When there are none, the screen says nothing is awaiting settlement.
Settle pendingOne button that pushes every pending outcome to its destination.
What will this job bill at?A panel where you pick a rate card and enter the job's figures (distance, hours, how many, labour minutes, parts, tolls, parking, waiting charge), then press Work it out. It shows the working and saves nothing, so you can test a rate card before using it.

Who uses it

Every completed duty, delivery or visit is priced with the calculation shown, and goes to billing when someone presses Settle.

What changes for the business?

Is it available today?

Yes, it is live.

What happens to a job that cannot be billed?

It is marked Failed with the reason, for example a missing rate or no customer, and stays on the Failed list. It does not return quietly to Pending, so you always see unbilled work.

Is the invoice sent to the customer automatically?

Settling creates the invoice in Sell and applies your usual limits, including any approval you require. Sending it is then done as for any invoice. Nothing is filed, paid or posted without a person.
