One workspace for accountants serving many clients

Accountants see every client company and run each client's filing jobs and deadlines from one practice home.

Live
Short answer

What does CA Practice Mode do? Accountants can see every client and run their filing jobs in one place, with who prepared, who reviewed and who filed on record.

How it works

The accountant sees every client company in one list, view-only to start with. Switching to prepare a client's work is allowed and is logged. A job list tracks each filing for each client and period, with two dates: when it is prepared and when it is legally due. An audit sign-off needs its UDIN before filing, independence conflicts on audit jobs are flagged, and a fee write-down above the practice limit waits for approval.

The detail that makes it real

Preparation and filing dates are tracked separately, because preparing late is a staffing issue but filing late is a penalty.

Step by step

  1. See every client in one list. Under Compliance, the practice's client list shows each client company the accountant has been given access to, by name. Access starts as view only. Switching to preparer mode for one client is a deliberate choice, and it is logged.
  2. Open a job for each filing. A job is one obligation, for one client, for one period, such as GSTR-1 for April. A second job for the same three is refused, so two people are not preparing the same return.
  3. Set the two dates. Each job has a preparation date, which is the practice's own, and a filing date, which is the legal one. Preparing late is a staffing problem. Filing late is a penalty. Kinnow keeps them apart.
  4. Chase the records. The job sits in Waiting on client until the client's records are marked received. Find who to chase lists the clients whose records have not arrived for a job that is due soon and drafts a reminder for each. Nothing is sent; you copy the text and send it yourself.
  5. Prepare, then send to review. Start moves the job to In preparation. Send to review hands it to a partner. If the partner sends it back, a reason is required and kept.
  6. A second person marks it filed. Marking a job Filed needs the partner role, and it cannot be the person who prepared it. For an audit or attest job, the UDIN must be recorded first. Kinnow does not file with the portal; the job records that the filing has been done.

Yes, it is live.

Can an accountant change a client's books by mistake?

Access starts as view only. Switching to prepare a client's work is a deliberate step, and it is logged against the accountant and the client.

What is the difference between the preparation date and the filing date?

The preparation date is the practice's own target. The filing date is the legal one. They are kept apart because a return prepared late and filed on time is a staffing issue, but one filed late is a penalty.

Why can I not mark my own job as filed?

Filing needs a second person with the partner role, and it cannot be the person who prepared the job. This keeps a second pair of eyes on every filing.

Does an audit sign-off need anything extra?

Yes. An audit or attest job cannot be marked filed until its UDIN is recorded. Kinnow checks the form of the number, not whether it was issued.

Give us your client list and the month's filings and we will show the load by person and by day.
