Suppliers help themselves, no Kinnow login needed
Suppliers view orders and deliveries, quote on tenders, and upload bills with a one-time sign-in code.
LiveWhat does Vendor Portal do? Fewer 'where is my order' calls, and supplier quotes and bills arrive ready to process.
How it works
Suppliers sign in with a one-time code and see only their own purchase orders, deliveries and tender invitations. They can submit or decline a quote before the deadline, and upload bills that your accounts team then matches against the purchase order and goods received. If something is refused, the reason is given in plain words and the screen never shows a false 'Submitted'. The portal carries your brand.
Each supplier sees only the purchase orders, deliveries and quotation requests addressed to them.
Step by step
Here is how a distributor with 120 active suppliers uses the portal, with one purchase executive and one accounts payable executive.
- The supplier asks for a code. On the portal sign-in page the supplier enters their registered email. Kinnow sends a six-digit code. There is no password and no Kinnow login.
- The supplier signs in for the day. The session lasts eight hours. The supplier sees only their own purchase orders, goods received and quotation requests.
- Quotation requests arrive. When your buyer invites the supplier to quote, it appears under Sourcing. The supplier prices the lines and submits before the deadline, or says they will not quote and gives a reason.
- The supplier uploads a bill. They choose the purchase order and upload the bill as a PDF. Kinnow checks that the order belongs to them and that the same bill has not been uploaded before.
- The bill goes into three-way matching. Your accounts payable executive sees it matched against the purchase order and the goods received. A person still approves it for payment.
- Your team answers by email. The procurement team confirms approval and payment by email to the supplier. The portal does not show payment status yet.
Ask us to invite one of your suppliers into the portal and send them a test quotation request.
What you see on screen
The supplier sees a short home page with three parts.
| Where | What you see |
|---|---|
| Supplier home | Counts of open purchase orders and goods received, with tabs listing each. Buttons open Sourcing and start a new bill. |
| Sourcing | The requests for quotation addressed to this supplier. Opening the list marks the invitation as viewed. For each, the supplier can submit a quote or decline with a reason. |
| New bill | Upload a bill against one of their purchase orders. When Kinnow refuses it, the reason is shown in plain words and the screen never shows 'Submitted' for a bill that was not accepted. |
| Your buyer's view | Each invitation records whether the supplier opened the request, quoted or declined, so 'never opened it' can be told apart from 'opened it and ignored us'. |
Who uses it
| Who | When | What they do with it |
|---|---|---|
| Supplier's sales or accounts person | Whenever they need to check an order or send a bill | Looks up their orders, quotes, uploads bills. |
| Your purchase executive | When running a tender | Invites suppliers, sees who has opened, quoted or declined. |
| Your accounts payable executive | When bills arrive | Works from the bills already matched to orders, not from emails and PDFs. |
