Your own branded portal for customers
Customers sign in with a one-time code to see statements, download invoices, reorder, raise disputes and pay.
Live in partWhat does Customer Portal do? Fewer 'send me my statement' calls, faster payments and more repeat orders, all under your brand.
How it works
A separate portal for your customers at your own address, your-name.portal.kinnow.io, in your brand. Customers sign in with a one-time code, no passwords, and see only their own data. They view statements and balances, download invoices, repeat past orders in one click, raise disputes and pay to your UPI ID. Card payments are still being built.
Every request is limited to that customer's own data; any attempt to see another customer's data is refused and logged.
Step by step
Think of a distributor with 300 dealers who keep phoning for statements. This is how a dealer's day looks and what your accounts team does behind it.
- You set the portal up. An administrator sets the display name, brand colour and logo, chooses which features are on, and can limit access to certain customers. Placing orders and paying online are off until you switch them on.
- The dealer signs in with a code. They enter their registered email, receive a 6-digit code that lasts 10 minutes, and type it in. There are no passwords. The session lasts 8 hours.
- They see their own position. The home page shows the total outstanding and how many orders are on file, with tabs for Invoices and Orders. The Statements page shows balances in ageing buckets.
- They download and pay. Download PDF gives the invoice, from the same document system your office uses. Pay opens a page with the amount due and a UPI payment link built from your UPI address. The payment note carries the invoice number so your team can match it.
- They repeat an order. Where you have switched this on, Repeat on a past order creates a new sales order that goes through your normal approval steps. It cannot get around a credit hold or a pricing rule.
- They raise a dispute. They enter the invoice number, pick a reason (wrong amount, wrong item, not received, quality or other) and describe it. Your accounts team sees it in the dispute queue and resolves it with a written note, which the customer can read.
See what your dealers would see. Give us one customer and we will show their view with your logo.
What you see on screen
The customer sees a small, quiet portal. Your team sees two admin screens.
- Customer home: the total outstanding, the orders on file, and tabs for Invoices and Orders, each with a count. Each invoice row has Download PDF and Pay, and each order has Repeat.
- Pay invoice: the amount due, a Pay by UPI link with a Copy link button, and a line saying which invoice the payment note carries. If no UPI address is set, it says Online payment isn't set up for this invoice and asks the customer to contact you, quoting the invoice number.
- Your disputes: a list with status and, once resolved, the Resolution text. Raise a dispute asks for invoice number, reason and description.
- Admin: portal setup: name, colour, logo, feature switches, an allow-list of customers and the sender address for codes.
- Admin: disputes: all open disputes with a Resolve action. Only an administrator can resolve.
Who uses it
| Who | When | What they do |
|---|---|---|
| Customer's accounts clerk | Whenever they need a statement or invoice | Signs in, downloads, pays, raises a dispute. |
| Your accounts executive | Daily | Resolves disputes and matches UPI receipts by invoice number. |
| Your administrator | At set-up and when customers change | Sets the brand, features and the customer allow-list. |
