Short answer

What does Installed base & coverage resolution do? Stop giving away chargeable visits, and prove you delivered the preventive visits you sold before renewal talks.

How it works

Kinnow keeps a list of the equipment you have installed, linked to its maintenance contracts and service tickets. Each call is marked warranty, contract, contract used up, chargeable or unknown, always with a reason. Free preventive visits are counted against what the contract promised, and schedules that are slipping are listed worst first. Support work you have not billed for raises a margin warning.

The detail that makes it real

Contracts listed free visits per year long before anything counted them; now every preventive visit is counted against the allowance.

Step by step

  1. Register what you installed. Each machine at a customer site goes on the Installed base register with its serial number, instrument, customer, site and the date the warranty ends. A machine despatched from your stock is registered automatically, but with no warranty date, because Kinnow will not guess one.
  2. Attach the maintenance contract. The contract lists which serial numbers it covers and how many free visits a year it promises.
  3. A service call arrives. The ticket carries the serial number. Kinnow looks it up and says one of five things, always with the reason: under warranty, under contract, free visits used up, billable, or not on the register.
  4. The service manager decides before anyone drives out. A panel called Who pays for the open tickets lists the calls that need a decision: billable, free visits used, cover unclear, no serial number, or cover ending soon. It only flags. It bills nothing.
  5. The engineer records each visit. Record a visit against the contract and mark it as preventive maintenance or a breakdown call. Only preventive visits use up the free allowance, because the allowance is the maintenance schedule the customer bought, not their callouts.
  6. Before renewal, count what you delivered. For each contract you can see visits entitled, taken, remaining and days left in the contract year, so you can show the customer the preventive visits you sold were delivered.

Every service call shows whether it's under warranty, under contract, contract used up, or chargeable, with the reason.

What changes for the business?

Stop giving away chargeable visits, and prove you delivered the preventive visits you sold before renewal talks.

Is it available today?

Yes, it is live.

What are the five answers Kinnow gives for a service call?

Under warranty, under contract, free visits used up, billable, or not on the register. Each comes with the reason, such as the warranty end date or the contract and the visits used.

Does a breakdown call use up the free visits in the contract?

Not by default. The free allowance is counted against preventive maintenance visits, since that is the schedule the customer bought. You record each visit as preventive or breakdown.

What happens to a machine we despatched but never registered by hand?

Kinnow registers it when it is despatched, but leaves the warranty date empty because the despatch does not carry a warranty term. Until someone enters the date it shows as not known, not as billable.

Will Kinnow invoice the customer for a billable call?

No. It flags the call as billable. A person prices and invoices the visit.

Send us a list of your installed machines and warranty dates and we will show which of your open calls are billable.
